You will work directly with the leadership team - particularly the CEO and the CSO - to manage daily operations and ensure seamless coordination across our entities inIreland, Spain, and Portugal. This is a broad, high-impact role for someone who thrives in dynamic environments and enjoys being the operational backbone of a fast-moving startup.You will:Manage executive calendars, meeting coordination, travel arrangements, and cross-functional schedulingOwn and improve processes and tools related to invoicing, bookkeeping, payments, expenses, cash flow tracking, and financial documentationLiaise with external partners across accounting, legal, HR, payroll, compliance, and CSPs to ensure smooth day-to-day operationsPrepare executive briefings, materials, and documentation for internal and external stakeholdersSupport HR operations including recruiting, onboarding, contract administration, and compliance across jurisdictionsCoordinate operational workflows across our three countries, ensuring alignment on timelines, deliverables, and internal communicationLead administrative organization, document management, and version control across the businessHandle legal and compliance tasks such as maintaining registers, filing statutory documentation, and tracking obligationsAct as an extension of the leadership team - anticipating needs, removing blockers, and driving operational clarityWhat We're Looking ForProven EA or Operations Experience: years supporting senior executives and managing operations in high-growth environments (technology experience is a plus)Multifunctional Capability: Comfortable working across finance, HR, legal, compliance, and general administrationHigh Ownership: You operate independently, make decisions, and proactively manage priorities without hand-holdingProcess-Driven: Strong ability to structure operations, introduce improvements, and maintain a high bar for accuracyReliable Communication: Excellent written and verbal communication in English; confident engaging with external partners and senior stakeholdersTech-Savvy: Strong proficiency with productivity tools (Google Suite, project management tools, etc.) and experience with HR and Finance-related software tools (e.g. Personio, Xero, etc.)International Ops Experience: Bonus if you've worked across multiple European countries or managed multi-jurisdictional administrationWho You AreOrganised & Detail-Obsessed: You manage complexity with clarity and stay calm under pressureDiscreet & Trustworthy: Able to handle sensitive information with absolute confidentialityOperationally Excellent: You enjoy making things run smoothly and efficientlyAdaptable: No task is too big or too small; you thrive in a role where every day is differentService-Oriented: You support the team with a "how can I help?" attitude while protecting executive time and prioritiesWhat You'll GetCompetitive base salaryAccess to equityPrivate health insuranceFlexible work setup + occasional travel to Madrid or Lisbon22 days of paid time off + national holidaysInterview ProcessWe keep our process focused and respectful of your time.
