Position Summary:
The Power Teams Operations Project Support Assistant plays a key
administrative and coordination role within the operations and project delivery team,
supporting the execution of field-based projects. This position is critical to ensuring
operational efficiency, compliance, and communication across multiple project
stakeholders, particularly in fast-paced, safety-essential environments. You be working on
administration tasks for projects in Ireland and across EMEA, supporting the Power Team,
the role will be in an office-based primarily. A passion for customer Service and Teamwork is
a must.
Position Summary:
The Power Teams Operations Project Support Assistant plays a key
administrative and coordination role within the operations and project delivery team,
supporting the execution of field-based projects. This position is critical to ensuring
operational efficiency, compliance, and communication across multiple project
stakeholders, particularly in fast-paced, safety-essential environments. You be working on
administration tasks for projects in Ireland and across EMEA, supporting the Power Team,

a must.
Job Responsibilities:
1. Provide Support to the Power Teams Field PM(s), including invoicing, progress report
submission, sign off documents and financial reporting and close out paperwork.
2. Complete Paperwork and collate information for Project Program Collation, Prepare,
maintain, and update project records, work packs, timesheets, and site documentation.
3. Coordinates with procurement dept with suppliers & deliveries across sites and regions
along with scheduling and delivery POC’s.
Coordinate daily and weekly work schedules for project teams, including engineers and
subcontractors.
4. Liaise with customer(s) office staff, field teams, and external vendors or contractors when
required on install dates and receive feedback - Track job progress and completion status
to support project delivery timelines.
5. Raise purchase requisitions and coordinate the delivery of equipment and materials to site
Track and log inventory, tools, and consumables required by the Power Teams.
6. Assist the Field PM with H&S documentation, is correctly maintained and accessible (e.g.,
RAMS, method statements, permits to work).
7. Log and escalate issues or delays impacting project delivery. Monitor and follow up on
close-out actions from inspections, site visits, or incident reports.
8. Data Entry on inhouse system and supporting Workbook (Excel, Smartsheet, Power BI)
9. Assist in collating information for the Financial Monthly Reporting across the Project
Manager Team
10. Performs other Admin duties and responsibilities as requested or required by the
Operations Manager and Operations Team
Job Skills Requirements:
• Strong telephone and personal customer service skills and ability to work under pressure
• Solid Microsoft Outlook, Excel, and Word skills
• Solid organizational skills and the ability to handle multiple projects tasks
simultaneously
• Excellent attention to detail for maintaining accurate project costs, records and documentation.
• Solid verbal, written and interpersonal communication skills - ability to liaise confidently with
Clients, field
teams, project managers, suppliers, and external stakeholders.
• Solid ability to facilitate a collaborative working environment for customers and Colleagues alike.
Education Requirements:
• Leaving certificate or equivalent
Experience Requirements:
• Previous administrative support or related experience preferred
• Previous experience in maintaining Project Documentation preferred
