Overview

We are seeking a highly organized and detail‑oriented Office Coordinator/Scheduler to aid the day‑to‑day operations of our office. The ideal candidate will be responsible for ensuring that office functions run smoothly, managing administrative tasks, and supporting all office staff with various operational needs.


Details

* Location: Blanchardstown Office
* Hours: Mon – Fri, 9:00 am – 5:30 pm (Full‑time)
* Annual leave: 21 days per annum
* Salary review: Yearly review with percentage increase based on performance appraisal
* Bonus: Tax‑free bonus of up to €1,500 per year (€500 in summer months, €1,000 in December; fully discretionary)

Key Responsibilities

* Ensure all field‑based care staff are appropriately allocated to customers, delivering care on time, safely and in line with customer wishes.
* Coordinate care assistants’ daily schedules using the Bluebird Care rostering system and address operational issues arising with customer care calls.
* Provide comprehensive administrative support to all office areas, including general duties, preparing reports for the Coordinator, Supervisor and Operations Manager, and maintaining accurate records, files and databases.
* Serve as the first point of contact for care staff and clients: answer phones, respond to emails, manage incoming and outgoing mail.
* Assist in the recruitment process and liaise with the Coordinator & Supervisor to secure appropriate staffing levels and cover for sickness, absenteeism or holidays.
* Maintain up‑to‑date electronic and handwritten records for staff files, supervision records and KPIs.
* Record and act upon accidents, incidents, complaints and compliments.
* Keep all customer information secure and confidential, and communicate changes to care staff or clients in a courteous, professional manner.
* Participate in the out‑of‑hours emergency on‑call rota after full training and competency assessment.
* Work flexibly as part of the office team, applying Bluebird Care policies and procedures consistently.


Desirable Criteria

* Prior experience as a Scheduler/Care Coordinator/Office Administrator in a home care company.
* Experience using the One Touch Rostering System.
* Experience in office administration within a health‑care setting; additional qualifications in Office or Business Administration preferred.
