Our client is an international professional services organisation with a strong presence across multiple markets. They are currently seeking an Office Operations & Reception Coordinator to join their Dublin team.
This role sits within the Operations Team and will play a key role in ensuring the smooth day-to-day running of the office. You will manage front-of-house reception, coordinate office operations, and provide administrative support across multiple teams in a fast-paced and collaborative environment.
This is a fully office-based anchor role, requiring a strong on-site presence to support colleagues, clients, and office operations effectively.

Role & Responsibilities
Manage front-of-house reception duties, visitor management, and building access
Create a welcoming and professional environment for colleagues and clients
Handle incoming calls and emails professionally and efficiently
Coordinate mail, couriers, meeting rooms, and catering requirements
Liaise with external providers supporting office maintenance and services
Order and manage office supplies and workspace requirements
Support health & safety and business continuity processes
Maintain supplier, equipment, and office records alongside operations and IT teams
Track office expenses and support finance-related administration
Provide administrative support across multiple departments when required
Coordinate ad hoc requests including taxis, transport, and restaurant bookings
Handle confidential information with discretion and professionalism
Support workplace sustainability initiatives and flexible working practices
What We’re Looking For
2+ years’ experience in an Office Assistant, Reception, or Office Operations role
Strong organisational and multitasking skills
Positive attitude with a team-focused approach
Ability to work proactively and take initiative
Comfortable working in a fast-paced professional environment
Strong Microsoft Office skills, particularly Excel, PowerPoint, and Outlook
Excellent written and verbal communication skills
Strong stakeholder and relationship management skills
