We are looking for an organised and efficient Service Administrator, to join our busy Service and Repairs team based in Naas, Co.
Kildare.
Service Administration Coordination Provide daytoday administrative support to the Service Maintenance department.
Assist in coordinating service jobs, repairs, and engineer schedules.
Manage incoming service requests, ensuring timely logging, allocation, and followup.
Liaise with customers, suppliers, and internal teams to maintain an efficient workflow.
Liaise with suppliers to ensure prompt delivery of parts.
Maintain service contracts and service management/scheduling systems.
Ensure accurate recordkeeping across databases, logs, and tracking systems.
Documentation Reporting Prepare job sheets, service reports, purchase orders, and related documentation.
Review engineer reports, job sheets, and purchase orders to verify chargeable items.
Support compliance, health safety, and quality documentation processes.
Contribute to continuous improvement initiatives within the department.
Invoicing Financial Administration Prepare, process, and issue invoices for service jobs, repairs, and callouts.
Ensure all billable works are captured accurately and invoiced promptly.
Liaise with customers regarding invoice queries, PO numbers, and supporting documentation.
Work closely with the finance team to support credit control and resolve discrepancies.
Additional Responsibilities You will be required to carry out any other reasonable duty as requested of you by the company.
Provide support to other areas of the Service Maintenance team during periods of leave or absence.
