Role Overview
We are seeking a highly capable and proactive Executive Assistant, with a particular focus on sales enablement and external coordination. The successful candidate will support the CEO in managing a high-volume pipeline, ensuring follow-ups are timely, meetings are scheduled, and communication is polished and professional.
This part-time role is fully remote and ideal for a detail-oriented, tech-savvy assistant who thrives in a fast-paced, mission-driven environment.
Key Responsibilities
1. Draft and manage client communications, follow-ups, and outreach in HubSpot CRM
2. Schedule and coordinate internal and external meetings across multiple time zones
3. Maintain the calendar, email triage, and task prioritisation
4. Join client calls as needed, taking ownership of next steps and follow-ups
5. Prepare agendas, notes, and supporting materials for meetings
6. Provide general executive support and administrative coordination
7. Prepare content and messaging for conference-related outreach; manage booking, travel, and follow-ups to maximise meetings and impact around key industry events
8. Ensure data accuracy and organisation within CRM and digital tools
Required Experience & Skills
1. 4+ years’ experience supporting a senior executive in a fast-paced environment
2. Excellent organisational, planning, and project management skills
3. Exceptional written and verbal communication skills; able to draft high-quality content
4. Proactive and resourceful with the ability to work independently
5. Strong IT skills including proficiency in Microsoft Office including PowerPoint and CRM (e.g., HubSpot)
6. Professional presence and confidence in client-facing situations
7. High attention to detail and commitment to accuracy, confidentiality, and follow-up
8. Time Management – Able to prioritise effectively and meet deadlines consistently
9. Exceptional Communication Skills – Clear, concise, and engaging in both written & verbal formats
10. Problem-Solving – Proactive approach to resolving issues independently
11. Adaptability – Flexible and able to manage shifting priorities with focus
Preferred Qualifications
1. Experience in writing and copyediting professional content or related health or scientific field
2. Bachelor’s degree in Administration, Communications, or related field
3. 12-month contract
