You'll be responsible for enabling effective communication, coordination, and execution across the Executive Team, ensuring decisions are followed through, meetings run efficiently, and leadership information flows seamlessly. The Executive Team Administrator will bring structure, reliability, and discretion to a fast-moving environment, allowing senior leaders to focus on delivering value and driving growth.What You'll Be Responsible ForExecutive SupportManage the CEO's and Executive Team's diaries, schedules, and priorities.Coordinate internal and external meetings, including logistics, agendas, briefing materials, minutes, and action tracking.Arrange travel and accommodation for leadership meetings, client visits, and site engagements.Prepare and format presentations, reports, and board materials to a professional standard.Communication & CoordinationServe as a key liaison point between the CEO, senior leaders, and wider organisation.Draft and proofread internal communications, leadership updates, and announcements.Maintain confidentiality at all times and handle sensitive information with integrity.Support the rhythm of communication across the leadership team ¿ ensuring clarity and consistency.Governance & ReportingSupport governance processes, including board and leadership reporting cycles.Coordinate input and document collation for board packs, SLT papers, and performance updates.Track key actions, risks, and decisions, ensuring accountability and follow-through.Maintain registers, trackers, and executive records with precision and version control.Leadership & Business SupportSupport organisation of leadership off-sites, quarterly reviews, and strategic planning sessions.Coordinate internal events, workshops, and communications with the Marketing & Comms team.Partner with Finance, HR, and GSS teams to ensure executive priorities are supported operationally.Streamline administrative processes for improved efficiency and visibility.Continuous ImprovementIdentify opportunities to improve coordination, planning, and reporting within the Executive Team.Recommend tools and methods that simplify scheduling, documentation, and collaboration.Proactively anticipate needs and remove friction for the leadership team.Skills RequiredWhat We're Looking For4-6 years' experience in an Executive Assistant, Senior Administrator, or Office Manager role supporting senior leadership.Proven organisational and communication skills, with high attention to detail.Experience preparing reports, presentations, and minutes to executive standard.Proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel).Strong judgement and discretion when handling confidential information.Ability to manage competing priorities and maintain calm under pressure.A proactive, solution-focused mindset with strong interpersonal skills.The PersonYou thrive on organisation, clarity, and execution.
