EZ Living Furniture was founded in Galway in 1998. We are a family run Irish retailer operating nationwide, as well as a full online shopping experience offering delivery throughout Ireland. We are the largest independent Furniture Retailer in Ireland employing over 370 people.
Front Desk Tasks :
* Greeting all visitors, Answering the reception phone and directing the call accordingly
* In take of all deliveries and direct to relevant dept
* All stationery and Ink Orders accross all locations including Head Office. Report any printer errors to IT and OMS (printer and toner supplier)
* All Uniform orders and safety equipment orders across all departments. Includes names badge orders and red ties for floor staff.
* All supply and goods orders i.e bubble wrap, packaging materials, labels for warehouses
* Hotel and Travel bookings
* Ad hoc online orders i.e : tools(Screwfix), IT hardware (Amazon), Miscellaneous supplies needed by stores and warehouses, paint, woodies, replacement hoover parts etc
* Any Marketing supplies meaning invoice paper, furniture and accessory swing paper orders, leaving out stock for the internal CAW truck like buttons and ties, pricing pockets, floor model stickers etc, for all locations.
* Boardroom Bookings and scheduling.
* All PO requests and invoice approvals for orders - working closely with accounts dept.
* Recording and reporting all store maintenance and facilities requests.
* Heating oil orders for relevant locations
* All vehicle repair and maintenance requests for POs, liaise with Charlie and Ruairi who will order. All invoices to be approved by distribution/transport managers
* Visitor sign in sheets for all stores and head office to be recorded.
* Ad hoc Donedeal adverts
* Reasearch and engage with new suppliers where possible to ensure cost saving across the above sectors.
* All customer service and IT dept orders i.e headsets, hard drives, licenses, data cabinets, replacement keyboards, monitors etc.
Facilities and Maintenance Duties - since April 2024
* Record and scheduling of all maintenance and facilities requests across all locations.
* Scheduling with Declan, Owen and Ronan for internal maintenance visits - i,e gallery wall changes, general repairs, garden maintenance, landscaping.
* Outsourcing when needed to service providers for urgent repairs that impede operations. I.e kelly rac for aircon, plumbing issues, electrical faults, and projects like footfall counters, sign repairs and replacements.
* Ordering and scheduling of the waste bins in all locations. Skips for projects and renovations i.e Steiner and Castlebar Photo Studio
* Sourcing and scheduling painters and window cleaners, and VM requests
* All faults or queries with escalators and lifts come to me and are scheduled for repair or maintenance with Orona / Premier lift. All reports from Aviva for insurance inspections are reviewed and actioned if faults found.
* All CU group and G4S (fire, security and monitoring) requests i.e contract negotiations, maintenance requests, urgent repairs or call outs, cctv issues.
* All hoist hires for jobs, i.e roof repairs, signs, electrical, air con, and arranging for delivery and collection
Skills & Qualifications:
* Exceptional communication skills
* Excellent administrative & organisational skills
* Proficient Microsoft Office user, with an easy ability to learn our in-house systems.
* Ability to use your own initiative, escalating issues to senior management when appropriate.
* Reporting and expense management experience
