The husband-and-wife team forged a path that would grow across geographies, span generations, and make Horseware Ireland the world’s leading equestrian brand in horse rugs and equine products, selling to over 70 countries worldwide and employing more than 500 people.Today, more than ever, we continue to challenge what is possible and reimagine new ways of fulfilling our mission to improve life for you, your horse, and our planet.About the RoleThe Executive Assistant plays a pivotal role in ensuring the smooth and efficient operation of the executive office, providing high-level administrative, organizational, and operational support to the CEO and wider leadership team. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities while maintaining confidentiality and professionalism at all times.ResponsibilitiesExecutive SupportProactively manage executive and management team calendars, scheduling and rearranging meetings as needed. Ensure all logistics, including IT setup, conference calls, meeting rooms, and catering are in placeArrange complex travel itineraries including flights, accommodation, and transport for executivesPrepare and distribute meeting agendas and take accurate minutes for department meetingsMaintain a high level of discretion in managing confidential files and documentsCoordinate document signing, including legal agreementsSupport expense report preparation and approval processesProvide visibility and oversight across executive and senior management diariesOrganise and maintain efficient physical and digital filing systemsDraft and format internal and external communications such as emails, memos, presentations, and reportsOffice ManagementOversee the procurement and inventory of office supplies and equipmentCoordinate office maintenance, repairs, and vendor services (cleaning, maintenance, etc.)Maintain and update office policies, procedures, and space configurationsGeneral AdministrationServe as the go-to person for ad hoc projects, requests, and cross-functional coordinationCreate positive relationships with hotels, vendors, and other external partnersLead planning and logistics for internal and external events, including in-house gatherings, product launches (e.g., AWISS), and trade shows (SPOGA, RDS)Organise staff events and celebrations to support company cultureManage vendor relationships, including negotiating corporate rates and ensure cost-effective arrangementsManage and approve executive expense reportsActing as the main Health and Safety contact in the office to include conducting Health and Safety inductions and risk assessments, act as Fire Marshal and First Aider along with other related dutiesRequirements5+ years in an EA or similar role5 days in the office at our Dublin HQHigh attention to detailStrong written and verbal communication skills for liaising with stakeholders, preparing reports and drafting correspondenceStrong organisational and time management skillsAdvanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and familiarity with Teams, Concur etc.Flexibility and adaptability, with a can-do attitude in a fast-paced environment
