DublinDepartment: Community Care ServicesReports to: CCS Operations ManagerContract type: PermanentThe company has been successful in tendering for the provision of managed services for appliances & aids for daily living. This service includes the delivery, collection, decontamination, cleaning, asset management, repair and disposal of various types of medical and non-medical devices and services provided to the community.Principal Duties and Responsibilities:The supervisor will be responsible for the management of the service, i.e. cleaning, maintenance, service & storage of equipment, to and from the warehouse. Supervision of staff i.e. drivers, cleaners, warehouse, QC, scheduling and associated staff and repair techniciansEnsure the work schedule for each day is achieved, liaising with all key personnel as requiredMonitor capacity and constraints and allocate resources and equipment as appropriateOversee the development of the load and route plan on a daily basis, ensuring it is optimised and configured to meet targetsAssess daily completion levels and analyse data to assess performance, understand the variances to plan and engage in continuous improvement / business process re-engineeringControl and maintenance of warehouse and equipment cleaning facilitiesDeveloping and maintaining procedures, databases and equipment files. Review and revision of process and equipment maintenance documentation and SOPs as necessary.Ensure facility is in line with current infection control proceduresBuild an effective team by leading, directing and motivating assigned staff, set objectives and ensure they are achievedEnsure calls are responded to within the requirement of the service level specificationCo-ordinating service jobs on Service and Repair (S&R) callsMaintenance of spare part inventory and inventory management system and dataMonitoring in house repairs and service to ensure cost efficiency and the standard of workCommunicate effectively with internal and external customers, responding to their issues and queriesCycle counts, stocktakes and stock managementMaintenance of spare part inventory and inventory management system and dataSupervision of the asset management, cleaning process, repairs and service systemCo-ordinating and ensuring staff are trained appropriatelyChecking of completed work and reporting on a weekly basisPreparation of key performance indicatorsAssist in the recruitment, selection and ongoing development of personnel and ensuring induction and appropriate training is deliveredInvestigation and management of customer issues/complaintsDrive quality, service and cost reduction initiativesAct as liaison with sub-contractors for vehicles, waste management, utilities, equipment maintenance etc.Managing maintenance contracts and working with/supporting contractors.Flexibility to perform scheduling and other essential tasks as required Complete all documentation accurately and ensure tasks are in compliance with appropriate procedures, SOPs and company and EHS regulatory requirements.Ensure that housekeeping standards and excellent techniques are practised, within the facility at all times, and maintained to a very high standard.Carry out all activities in compliance with company, EHS & regulatory requirementsParticipate in Cross-Functional teams, as necessary.Ensure compliance with all quality, health & safety, company and customer site regulations.Organise and Manage directly employed staff and specialist subcontractors, to ensure efficient and effective execution of planned and reactive maintenanceDealing with issues and queries from customers and investigation of complaintsQualifications and Experience:The successful candidate will ideally have:A full, clean driving LicenseThree years previous experience in a similar role, ideally in a service environment Experience in a busy warehouse environment, i.e. goods in, pick, pack and dispatch operations. IT literateStrong MS Office skills is essential with SAP experience Ability to analyse and assess information and to express proposals in business terms Capability of working on own initiative without close supervision as well as a member of a team Strong internal & external customer focus Attention to detail Ability to work to deadlines and manage a multitasking environmentThe successful candidate will be: Flexible, hardworking and enjoy working with people. Articulate, courteous with a friendly telephone manner Ability to work well under pressure while adhering to strict deadlines Other information: Occasional requirements to work beyond normal working hours and to travel to other Fannin sites will be expected.
