OVERALL PURPOSE OF THE JOB
In this role, you are responsible for ensuring the smooth operation of financial and administrative processes within the team. This includes preparing month-end Excel reports, uploading and issuing invoices via various customer portals, and proactively chasing outstanding debt to support timely cash flow. You will also set up accounts for staff working from home, manage the filing and scanning of PODs to ensure accurate invoice reconciliation, complete credit checks for new customers, and log QRs for faulty products. Additionally, you will handle a range of general office administration and ad-hoc tasks as required, contributing to the overall efficiency and effectiveness of the department.
KEY RESPONSIBILITIES
The candidate must have a positive attitude to sales and customer service and the ability to work in a pressurised environment.
The role will require the candidate to:
· Processing invoices and preparing payment runs.
· Collating invoices and preparing payment runs (Excel).
· Managing inboxes and resolving ad hoc supplier queries.
· Processing credit card payments.
· Administration on Working from home scheme.
· Liaise with both customers and suppliers and respond to invoicing queries.
· Uploading customer invoices to portals such as Coupla/Ariba
· Matching PODs with invoices
· Assisting with other month end balance sheet reconciliations.
· Assist the finance team with other ad hoc duties as needed.
KNOWLEDGE REQUIREMENTS
· Well organised with a high attention to detail.
· Competent user of Microsoft Excel.
· Good interpersonal and communication skills.
· Ability to work independently or part of a team and to work to tight deadlines. We are looking for someone with a good attitude and who can work as part of a team
· At least two years' experience in a similar role.
