Dromoland Castle Resort, one of Ireland's most prestigious five-star hotels, has an exciting opportunity for a hardworking, committed, and ambitious individual to join the Purchasing Department. The successful candidate will work closely with the Purchasing Manager to support key daily purchasing tasks and projects.
Overview of the Role
1. Research suppliers and negotiate best prices/quality.
2. Track orders and ensure timely delivery.
3. Enter order details (e.g., vendors, quantities, prices) into internal databases.
4. Monitor Procure Wizard orders from different departments and adjust quantities or replace products when necessary.
5. Source new requested products and negotiate best prices.
6. Work closely with all departments to ensure requests are handled efficiently.
7. Understand and monitor price fluctuations and negotiate with suppliers to achieve the best prices/quality.
8. Monitor stock levels and place orders as needed.
9. Process supplier invoices and credit notes.
10. Assist the purchasing manager in negotiating prices and maintaining good supplier relationships.
11. Prepare month-end reports and assist with payment processing.
12. Reconcile statements and request missing invoices.
13. Monitor and update stocktake prices, considering seasonal factors.
14. Ensure invoices are matched with delivery notes and request credits for missing deliveries.
15. Have good knowledge of wines, spirits, soft drinks, and food products.
16. Handle correspondence with suppliers and internal teams professionally and efficiently.
17. Assist with year-end auditing and CFO requests.
18. Manage purchasing systems and procedures.
19. Control deliveries and monitor shipments.
20. Report any delays that may impact service standards.
21. Reconcile supplier statements and ensure accuracy.
22. Maintain stock control and stocktakes, considering seasonal factors.
23. Maintain regular contact with suppliers to ensure timely delivery of purchase orders.
The Ideal Candidate Should
1. Have at least 2 years of experience in a similar role.
2. Have knowledge of Procure Wizard software (desirable).
3. Possess strong numerical skills.
4. Have excellent IT skills, including Word and Excel.
5. Be a strong communicator capable of liaising effectively with suppliers.
6. Be able to work independently and on initiative.
