Executive Business Administrator (Contractor)
Location: Dublin (Hybrid – Minimum 2 days onsite)

We’re looking for an Executive Business Administrator to join a dynamic team focused on innovation, collaboration, and strategic growth within the small and medium business segment.
What You’ll Do
Executive Support & Calendar Management
* Manage complex executive calendars, prioritizing high-impact meetings and urgent business needs.
* Coordinate with internal and external stakeholders, including C-suite and board-level contacts.
* Handle sensitive topics with discretion and professionalism.
Cross-Functional Collaboration
* Act as a key liaison between executives, internal teams, and external partners.
* Represent leadership in written and verbal communications with clarity and professionalism.
Team Engagement & Mentorship
* Support the broader business support community through mentoring and development initiatives.
* Foster a culture of inclusion, collaboration, and team morale.
Event Planning
* Lead the planning and execution of executive-level events aligned with business goals.
* Manage communications, promotion, logistics, and post-event follow-up.
Operational Excellence
* Oversee budgets, expenses, procurement, and space planning.
* Ensure compliance with internal policies and collaborate with finance on approvals.
Strategic Planning
* Design and manage the annual rhythm of business (ROB), aligning meetings and communications with strategic priorities.
* Coordinate across teams to ensure alignment and workload balance.
Travel Management
* Plan and manage complex travel logistics, including international travel and on-the-ground support.
* Ensure compliance with travel policies and provide support during travel.
What You’ll Bring
* Proven experience in executive-level administrative support, including calendar, travel, and event management.
* Bachelor’s degree in Business Administration, HR, Marketing, Communications, Psychology, Sociology, or equivalent experience.
* Experience mentoring or supervising others.
* Strong budget management skills (e.g., events, morale, travel, training).
