Job Summary:
We are seeking a highly organized and professional Customer Service Coordinator to join our team. As the first point of contact for students, staff, and visitors, you will play a vital role in delivering excellent customer service and providing essential administrative support in a dynamic office and educational environment.
Main Responsibilities:
* Greet and welcome visitors, students, and staff with a warm and professional demeanor.
* Answer, screen, and direct incoming telephone calls.
* Maintain a clean and organized reception area.
* Operate the door entry system and ensure secure access for visitors.
* Manage incoming and outgoing mail, packages, and deliveries.
* Assist with data entry, filing, and maintaining accurate records.
* Schedule appointments and manage calendars for staff as needed.
* Prepare and distribute communications, memos, and notices.
* Support event and meeting coordination, including room bookings and AV setup.
* Assist with staff expense claims, purchase orders, hotel bookings, and purchasing queries.
* Help with document verification and management for admissions and registration.
* Provide information and assistance to students regarding programs and resources.
* Coordinate with vendors and service providers for deliveries and maintenance.
* Operate office equipment and troubleshoot basic technical issues.
* Ensure security protocols are followed and support health and safety procedures.
Requirements:
* Leaving Certificate or equivalent (additional education or office administration certification is an asset).
* Previous experience as a receptionist, administrative assistant, or in a customer service role.
* Excellent verbal and written communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn new systems.
* Strong organizational skills and ability to multitask in a busy environment.
* Positive attitude and commitment to providing high-quality service.
