Reporting to: Chief Operations OfficerJob Purpose: Financial and Statutory Compliance ManagementTo ensure the financial health of the organisation by administering accounting operations to meet statutory, legal and charitable governance requirements and a robust reporting regime.To provide accurate financial information and reports to support the organisation's management, governance and decision-making processes.To support the Chief Operations Officer in monitoring and maintaining compliance with statutory, legal and charitable governance requirements.Key responsibilitiesFinancePrepare monthly, quarterly and annual financial reports in a timely manner, including:Maintain accurate records of all daily financial transactions, including payments, receipts, and journal entriesMaintain and manage the procurement process of the organisationProvide support and training to the team in managing the monthly expense claim and approval processes within the online expense management software.Preparation of monthly reconciliations, expense reports and Balance Sheet schedules for management reviewPrepare funder and project reports, as required, compiled in line with relevant funding agreementsPrepare comprehensive banking files on a monthly basis, ensuring all reconciliations, transaction records, and supporting documents are accurate and organised for timely management and committee review.Prepare the monthly payroll file and submit it for management review.Act as the primary point of contact for all payroll‑related queries.Maintain and update the Fixed asset registerPrepare internal reports as required, including reports for Board sub-committeesPrepare files for financial audits and liaise with auditors, when requiredAssist with annual budget preparationTo support the COO with property management for Head Office Review and implement financial policies:Maintain and update financial procedures as agreed with Senior ManagementKeep up to date with all current accountancy practices i.e., Charity Law, SORPProviding support to the CEO, COO and the Board sub-committees as requiredTo ensure the confidentiality of all information in any media or format in relation to the children and young people who use the serviceComplianceMonitor, maintain, and update the annual Compliance Plan and calendarMaintain and update garda vetting recordsSupport COO in Risk management and monitoringMaintain and update GDPR breach registerAdditional ResponsibilitiesAttend internal regular meetings, provide reports and information as requiredParticipate actively with the team, planning and staff meetings as required to function effectively within the organisationParticipate in regular supervision with your line manager.Be vigilant to any child protection risks, health and safety risks and data protection risks in the workplace and bring any concerns to designated officers and/or your line-manager.Undertake other duties as may be reasonably required from time-to-time.Desirable Skills and ExperienceThe candidate will be a self-starter, flexible and comfortable working on their own initiative.3 years+ previous experience in a similar roleAccounting Technician qualification or similar qualification and/or experienceDemonstrate strong Management Accounting knowledgeExperienced in budgeting and Financial ReportingKnowledge of FRS 102 SORP and experience in not-for-profit sectorDemonstrate an ability to take ownership and drive issues through to completionDemonstrate an ability to manage workloads to meet tight reporting timelinesProblem identification and solving skillsExcellent IT literacy and administrative skillsExperience with Accounts IQ is desirable but not essentialAttitudeCommitment to the values and mission of EPIC.Flexibility and adaptability.Commitment to ongoing professional development.PLEASE NOTE:EPIC, Empowering People in Care believes in the value of a diverse workforce and encourages applications from people from all ethnic, cultural, religious, and social backgrounds: in particular, Black, Asian, and Minority Ethnic and LGBTIQ+ people.
