Overview

About the Role

As a Crew Planner & Operations Assistant, you’ll play an important role in helping ensure the safe, efficient, and cost-effective deployment of Flight and Cabin crew across our network. Based within the Operations team, this position is central to both the day-to-day execution of flights and the long-term planning of crew resources. Your core responsibility will be to create crew rosters that are compliant and well-balanced, taking into account operational needs, crew well-being, training schedules, and regulatory requirements. In addition to supporting the Crew Operations Manager, you’ll collaborate closely with teams across Flight Operations, Crew Control, and Crew Training to ensure crew schedules support both business goals and legal standards, including EASA Flight Time Limitations (FTL). Beyond daily rostering, you’ll also be involved in forward planning, scenario modelling, and improving our planning tools and processes.


Duties and Responsibilities

* Develop and maintain monthly rosters for flight and cabin crew in accordance with company policies, regulatory requirements (e.g., EASA FTL) and operational planning.
* Monitor and manage crew coverage to ensure all flights are adequately staffed, proactively identifying and resolving any potential shortages or conflicts.
* Coordinate with departments including Flight Operations, OCC and Training to integrate leave, training, and coverage into crew schedules.
* React promptly to operational disruptions by rescheduling crew in real time, ensuring continued compliance and minimal impact on the operation.
* Ensure accurate and timely input of all roster-related data into the crew management system (e.g., Sky24).
* Communicate schedule changes and updates to crew members in a timely and professional manner.
* Participate in long-term manpower planning and provide input into recruitment forecasts and seasonal planning.
* Generate and analyse reports related to crew productivity, utilisation, and compliance, supporting data-driven decision-making.
* Assist in the development and continuous improvement of planning processes, tools, and procedures.
* Ensure all rostering activities are conducted with a strong focus on safety, compliance, cost-efficiency, and crew wellbeing.

Emergency Response

* Maintain knowledge of the emergency response programme policies, processes, and procedures, as defined by the Emergency Response Procedures. Be prepared to respond in a crisis as an ERP representative, if required by the role.


Essential Skills, Qualifications and Experience

* Demonstrable experience (minimum three years) in crew planning, airline operations, or a related role is highly desirable.
* Relevant qualifications such as a diploma or degree in aviation management, logistics, business administration, or a related field are preferred but not mandatory.
* Strong analytical and problem-solving skills, with the ability to manage complex scheduling challenges and make data-driven decisions efficiently.
* Excellent attention to detail to ensure compliance with regulatory requirements and accuracy in crew rostering.
* Effective time management and organisational skills to prioritise tasks and handle multiple deadlines in a fast-paced operational environment.
* Clear and professional communication skills (both written and verbal) for liaising with crew, management, and other departments.
* Ability to remain calm and adaptable under pressure, responding promptly to operational changes and disruptions.
* Proficiency in crew management and planning systems (such as Sky24), along with strong Microsoft Office skills, particularly Excel.
* In-depth knowledge of aviation regulations, including EASA and ICAO or equivalent regulatory frameworks.
* Demonstrated ability to work collaboratively across teams.
* Fluency in English; additional languages are considered a plus.


Desirable Skills, Qualifications and Experience

* Familiarity with airline scheduling software and tools.
* Experience working in a multi-base or multi-country airline operation.
* Understanding of fatigue risk management principles in crew planning.
* Ability to interpret and apply regulatory updates or changes in aviation legislation.
* Experience with data analysis and reporting tools, such as Power BI or Excel pivot tables.
* Strong negotiation and conflict resolution skills, particularly when dealing with scheduling changes or crew concerns.
* Exposure to ERP or disruption management scenarios and crew recovery planning.
* Interest in process improvement, with experience in optimising planning procedures or introducing new tools.
* A proactive, solution-oriented mindset with a strong customer service approach when dealing with internal stakeholders and crew members.
