The International Society for Quality in Health Care External Evaluation Association (ISQua EEA) supports health and social care organisations worldwide through our accreditation and external evaluation programmes. We are seeking a detail-oriented and proactive Support Officer (Administrative Assistant) to join our team and help deliver high-quality support to our global network. Learn more about us: About the RoleAs a Support Officer, you will provide essential administrative support to the External Evaluation Programme team.You will work closely with the Head of Operations, Accreditation Managers, and our ISQua EEA Operations Executive to ensure smooth scheduling, documentation, communication, and logistics.This role is ideal for someone highly organised, collaborative, and service-focused, with excellent communication skills and the ability to work across multiple projects.We are looking for someone for 3-4 days a week.Key Responsibilities1) Corporate & Operational AdministrationPrepare documentation and agendas for committee meetings.Coordinate meeting logistics, venue arrangements, and catering.Issue COI requests, voting forms, and committee papers in advance.Minute taking and preparation of meeting minutes.Provide diary support and schedule meetings for key staff.Assist with Adobe Sign workflows and scheduling client & training calls.Prepare and send award packs to client organisations.Assist with annual reporting and post-committee activities (e.g. document retrieval).Update ISQua EEA website (award details, surveyor information, accreditation terms).Prepare correspondence and client communications.Manage LinkedIn page messages and respond appropriately.Coordinate the preparation of the awards presentation for the annual ISQua conference.Liaise with clients to collect updated logos for awards.Obtain quotes and liaise with design/typesetting providers.Maintain accurate records and process related invoices.Log and support responses to complaints.Proofread documentation as required.Maintain accurate Salesforce records for clients, surveyors, survey dates, and other relevant information.Provide ad-hoc administrative support to other ISQua teams.2) Information & Client SupportAct as the first point of contact for organisations enquiring about external evaluation programmes.Assess enquiries, clarify requests, and provide relevant programme information.Redirect technical queries to Accreditation Managers where appropriate.Track follow-ups to ensure no enquiries are missed.Upload enquiries and application forms to CRM (Salesforce).3) Scheduling & Survey LogisticsCreate client sites on Collaborate (survey management system).Check technical review submissions for complete linking & evidence.Track progress report submissions and send reminders.Coordinate onsite organisational survey arrangements (travel, accommodation, expenses).Ensure required documentation is completed for funding requests.Support reimbursement of surveyor expenses.Maintain accurate survey expense records for monthly accounts.Monitor and forward survey-related queries.About YouYou will thrive in this role if you are:Highly organised, with excellent attention to detailComfortable managing multiple tasks and deadlinesA clear and confident communicatorProactive, flexible, and solutions-focusedExperienced with spreadsheets and CRM systems (Salesforce a plus)Able to work well both independently and in a teamExperience in accreditation, health care, or professional membership organisations is beneficial but not essential.What we OfferOpportunity to contribute to global healthcare quality improvementCollaborative, supportive teamProfessional development opportunitiesFlexible/remote working arrangements20 days annual leavePension Contribution SchemeTaxSaverSalaryFrom €30,000 for 4 day week
