We are currently recruiting for are recruiting for an Assistant Purchasing Manager.
Reporting to the Resort Procurement Manager, this role involves developing and implementing procurement strategies, negotiating with suppliers, and ensuring compliance with company policies and industry regulations. Supporting both the purchasing & finance departments with system implementation, Purchasing Procedures and Policies accurate financial reports and accurate administration as required
Primary Duties and Responsibilities:
The Assistant Purchasing Manager performs a wide range of duties including amongst others:
* Identify purchasing needs and requirements from various departments.
* Maintain and Manage the core lines of stocked items such as Beverage & consumable items
* Oversee the end-to-end purchasing process, including requisition, sourcing, ordering, and receipt of goods and services.
* Develop and execute purchasing strategies to meet organisational goals
* Evaluate market trends and supplier capabilities to inform strategic decisions
* Identify cost-saving opportunities and optimise the purchasing process.
* Source, evaluate, and negotiate with suppliers to obtain competitive pricing and favourable terms.
* Monitor supplier performance, quality, and delivery times
* Resolve any disputes or issues with vendors promptly
* Identify and onboard new suppliers when necessary.
* Generate purchase orders and ensure timely delivery of goods and services.
* Monitor and track inventory levels to prevent shortages or excess stock.
* Collaborate with departments to forecast future demand and adjust purchasing plans accordingly.
* Analyse and evaluate the cost structure of the organisation.
* Implement cost-saving strategies and initiatives.
* Monitor and control operational expenses.
* Review and approve invoices, ensuring accuracy and adherence to contracts.
* Conduct cost variance analysis and provide recommendations for improvement.
* Ensure all Purchasing activities adhere to relevant laws, regulations, and company policies.
* Maintain records of all purchasing transactions and contracts.
* Purchasing and Stock System Administration including responsibility for setting up system parameters, set up of new products & suppliers, updating and revising pricing of suppliers, training and initiating month end close process.
* Assist in the Preparation of timely and accurate financial reports on a daily, weekly, and monthly basis in the format of the Resort's Financial Reporting Suite.
* Assist in Inventory analysis, Gross Margin analysis and reporting of same.
* System Implementation - Assist the Financial Controller in the implementation of an integrated Purchasing, Stock Control, and Finance package.
* Assist in stock take of outlets /stores, completion of inter department /stores transfers and allocation of related costs.
* To liaise closely with the other Departments and Procurement Manager on various operational and cost related issues.
* To perform test checking on the receiving of goods at the hotel and to see that the procedures are followed correctly.
Skills required for position:
* Proven Experience: Demonstrated success in managing purchasing functions within a luxury 5-star hotel or high-end hospitality environment, with a strong understanding of quality standards, supplier expectations, and operational demands in a luxury setting.
* Leadership Experience: Minimum of 3 years in a purchasing or procurement leadership role.
* Relevant Qualifications: Qualifications in procurement, supply chain management, or a related discipline (e.g., IPICS, CIPS, or equivalent) are desirable.
* Commercial Acumen: Strong analytical and numeracy skills, with sound commercial insight and decision-making capabilities.
* Technical Proficiency: Highly IT literate, with strong skills in Microsoft Office (particularly Excel), and experience using procurement or inventory management systems (e.g., ProcureWizard, NAV Dynamics, or similar platforms).
* Communication & Negotiation: Excellent communication, negotiation, and supplier relationship management skills, with the ability to represent the resort professionally and build collaborative vendor partnerships.
* Organisational Skills: Detail-oriented and highly organised, capable of managing multiple priorities, meeting deadlines, and supporting various internal departments across procurement categories.
* Leadership & Team Development: A positive leadership style with a strong commitment to team development, mentoring, and cross-departmental collaboration.
* Other Requirements: Full, clean driving licence.
