The Role
As the Receptionist at our Head Office, you will be the first point of contact for visitors, clients, and colleagues, playing a key role in creating a professional and welcoming environment. You will manage the front desk, handle incoming calls and correspondence, coordinate meeting room bookings, and provide administrative support to the wider team. The role also involves liaising with internal departments and external stakeholders, maintaining office systems and records, and ensuring the smooth day-to-day running of reception within a fast-paced construction business. This position requires strong organisational skills, excellent communication, and a proactive, customer-focused approach.
Responsibilities

Greet visitors and clients in a professional and friendly manner.
Coordinate and manage meeting room bookings, ensuring rooms are prepared and equipped as required.
Ordering stationary and other consumables.
Maintain high standards across office facilities, ensuring a clean, organised, and well-presented working environment at all times.
Manage incoming calls and correspondence, including taking accurate messages, responding to emails, and directing queries to the appropriate teams.
Receive, sign for, and distribute deliveries in a timely and organised manner.
Sort and distribute internal and external mail efficiently.
Arrange and collect catering for meetings and senior leadership as required.
Replenish canteen supplies, including regular collections from designated suppliers (Musgraves).
Coordinate domestic and international courier shipments across Ireland, the UK, and other regions.
Maintain visitor logs and issue visitor passes when required.
Support administrative tasks when required, scanning, photocopying etc.
Assist different departments with clerical support when needed.
Ensure the reception area is consistently maintained to a clean, tidy, and professional standard.

Requirements

Previous experience in a receptionist, front-of-house, or administrative role within a professional office environment with strong administration skills.
Strong interpersonal and communication skills, with the ability to engage confidently with clients, visitors, and colleagues at all levels.
Excellent organisational and time management skills, with the ability to prioritise tasks in a fast-paced environment.
Excellent IT skills – Proficient in Microsoft Office applications (Word, Outlook, Excel) and comfortable managing email and booking systems.
A proactive and flexible approach, with a willingness to support a variety of administrative and operational tasks across the business.
High level of attention to detail and a strong commitment to maintaining a professional and well-organised workspace.
Ability to handle sensitive information with discretion and maintain confidentiality at all times.
A full, clean driving licence is essential, as this role requires regular travel to collect catering for meetings and to replenish canteen supplies from external suppliers.
Reliable, punctual, and dependable, with a strong sense of responsibility and ownership of the front-of-house function.
