2025/139 Grade V Allied Health Professional Team Lead


Patient Services Department


Permanent, Full Time

The Patient Services Department provides front line receptionist and administrative support to ensure the smooth operation of scheduled and non-scheduled patient appointments. We are also responsible for the admissions of all patients and management of their medical records and information.

Under general supervision and following established policies and procedures, the purpose of this role is to manage, plan, and co-ordinate the daily operational activities and staff assigned to the Admissions / Reception Area, and to ensure there is an effective and efficient delivery of services at all times. The Reception/Admissions Desk provides a 24 hour service Monday – Sunday including bank holidays.

Principal Duties and Responsibilities

* Manage the operational activities of the Reception / Admissions area.
* Manage resources assigned to the area to ensure there is adequate cover for each shift pattern. Update Rosters on a 4 weekly basis.
* Ensure that staff assigned to the Reception / Admissions clearly understand their role, reporting relationships and accountability within the department and to the Patient Services Manager.
* Co-ordinate internal staff rotation, in consultation with relevant staff, to ensure continuity and flexibility of work practices.
* Provide managerial support to the staff on duty outside of office hours with training & development, resolving staff issues as they arise and the implementation of new processes as they come on-stream.
* Deal effectively with complaints from patients and clients, while preserving patient / client confidentiality.
* Actively promote resolution of staff issues at local level in line with the hospital policies and procedures.
* Ensure there are open channels of communication between staff.
* Develop key relationships within the department and with all hospital staff.
* Promote effective, efficient delivery of services to patients and hospital staff.
* Participate in the Recruitment / Selection of staff for assigned areas of responsibility as required.
* Responsible for the training of staff to ensure their professional development, which includes the orientation of new staff, assigned to areas of responsibility.
* Identify training needs of staff in conjunction with the Patient Services Manager.
* Ensure appropriate administrative duties are carried out on a daily basis including rosters recording of annual leave / sick leave, and submit monthly returns to Deputy Patient Services Manager.
* Ensure information technology systems e.g. iPMS are maintained and recommend/initiate developments and/or corrective action procedures as required.
* Work with the Patient Services Management Team to identify and implement work process efficiencies.
* Ensure policies and procedures are appropriately implemented and continually reviewed as they relate to the department.
* Undertake continuing education and development activities consistent with the position.
* Other duties appropriate to the post as assigned from time to time including cover of Reception/Admissions at night or weekend in an emergency situation.
* Ensure patient confidentiality at all times.
* Actively contribute, participate and ensure compliance with the key areas identified in the following: Infection prevention and control / decontamination, National Quality/Hygiene Schemes, B.F.H.I., and all audits deemed necessary by the Rotunda Hospital Management Team.

Eligibility Criteria:

Professional Qualifications, Experience, etc.

(a) Eligible applicants will be those who on the closing date for the competition:

* (i) Have satisfactory experience as a Clerical Officer in the HSE, TUSLA, other statutory health agencies, or a body which provides services on behalf of the HSE under Section 38 of the Health Act 2004.
* (ii) Have obtained a pass (Grade D) in at least five subjects from the approved list of subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish. Candidates should have obtained at least Grade C on higher level papers in three subjects in that examination.
* (iii) Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction.
* (iv) Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI).*

*Candidates must achieve a pass in Ordinary or Higher level papers. A pass in a foundation level paper is not acceptable. Candidates must have achieved these grades on the Leaving Certificate Established programme or the Leaving Certificate Vocational programme. The Leaving Certificate Applied Programme does not fulfil the eligibility criteria.

(b) Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the office.

Health

A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the office and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.

Character

Each candidate for and any person holding the office must be of good character.

* Excellent supervisory / people management skills.
* Proven Customer services skills.
