Legal Personal Assistant Opportunities - Dublin (small and large law firms)
We are seeking Legal PAs, at all levels, for global and domestic law firms in Dublin. Roles will offer hybrid working and competitive benefits.
Key Responsibilities:
* Provide executive-level administrative support to senior leaders, anticipating their needs in a timely fashion, enabling them to focus on key fee earning and management activity.
* Monitor and manage partner emails and calendars, coinciding with the thorough planning of meetings and events across multiple time zones.
* Proactively manage and optimise executive schedules in accordance with business priorities.
* Extensive travel management including the preparation of client reports and travel packs for all trips and client interaction.
* Pro-actively manage all data associated with the partner/executive, entering and amending information as required for business development purposes on the firm\\'s internal CRM system.
* Compile business development documentation for new client meetings e.g. research, client bios and company information.
* Serve as a point of contact for internal and external stakeholders, handling enquiries on behalf of partner/executive.
* Handle sensitive and confidential information with professionalism and discretion.
* Build and maintain strong working relationships across teams and departments.
* Manage the monthly billing processes to include time allocation and invoice preparation (commercial billing experience is essential).
* Manage all expenses, ensuring submissions are made on time and with the highest level of accuracy.
* Work with the full Microsoft Office suite, updating presentations as requested and producing high-quality documentation from hand-written drafts, following the relevant house style.
* Support and cover the wider PA population within the designated practice group.
* Ad hoc duties, as and when requested.
Person Profile
* Experience providing secretarial support to senior stakeholders.
* Highly organised with the ability to manage high volumes and re-prioritise as required.
* Uses initiative to problem solve in a calm and methodical way.
* Proven experience working with highly sensitive information in a discreet and confidential manner.
* Well-developed IT skills, including proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and the ability to use them effectively to improve performance and communications.
* Exceptional attention to detail and written/verbal communications skills.
* Acts in a professional and assertive manner, displaying strong interpersonal abilities.
* Proactive, resourceful and able to work both independently and collaboratively.
