Role Brief
We are seeking a highly organised and detail-oriented Payroll Specialist to join our team. This role is critical in ensuring the accurate and timely input of complex payroll data for our workforce of over 500 employees. With a multifaceted payroll structure involving varying shift patterns, roles, and contractual arrangements, this position plays a key role in maintaining integrity and compliance in our payroll processes.
You will work closely with our People and Finance Team and our external payroll provider to prepare, validate and submit all necessary payroll inputs on a monthly basis. This is a demanding yet rewarding opportunity for someone who thrives on detail, deadlines, and making a meaningful impact behind the scenes.
Responsibilities
* Prepare, validate and input all payroll-related data for over 500 employees, ensuring accuracy and adherence to deadlines.
* Collate variable pay elements including overtime, shift differentials, bonuses, allowances, statutory payments, unpaid leave, and other adjustments.
* Liaise with line managers and HR colleagues to ensure correct and timely capture of payroll-related information.
* Coordinate the collection of new starter information and documentation, ensuring all mandatory paperwork is complete, accurate, and received on time to support seamless payroll onboarding.
* Process employee expense claims in compliance with company policy and Irish Revenue guidelines, ensuring timely reimbursement and accurate reporting for tax purposes.
* Reconcile payroll data, investigate discrepancies, and escalate where necessary to ensure resolution before submission to our external payroll provider.
* Ensure compliance with Irish Revenue’s Real-Time Reporting (RTR) requirements by accurately submitting PAYE payroll data in line with monthly deadlines
* Assist with P45, P60 and P11D processing, pension reporting, and HMRC submissions.
* Compile and submit the quarterly EHECS report to the Central Statistics Office (CSO), ensuring accuracy in reported earnings, hours, and employment cost data in accordance with statutory requirements.
* Maintain accurate and up-to-date employee records in line with GDPR and company policy.
* Support internal and external audit processes by providing documentation and responding to queries.
* Continuously seek process improvements and contribute to the development of more streamlined, accurate, and efficient payroll operations.
Requirements
* Proven experience in a payroll support or payroll administration role, ideally within a large and complex organisation.
* Strong understanding of UK and ROI payroll legislation, statutory requirements and HMRC and Revenue regulations.
* Excellent Excel skills, including confidence with formulas, lookups, and pivot tables.
* High level of accuracy, attention to detail, and organisational skills.
* Ability to work to strict deadlines while managing competing priorities.
* Experience working with third-party payroll providers (desirable).
* Familiarity with HRIS and time/attendance systems (desirable).
* Strong interpersonal and communication skills with the ability to liaise confidently across departments.
