The employer is the Board of Management of Holy Family NS. The successful applicant will be paid by the Department of Education and Youth (DEY) as per most recent circular. Currently, the payscale is that of Grade III Clerical Officer. The successful applicant will be placed on Point 1 of the Payscale or higher if having verified previous experience as a school secretary, as verified by the DEY.

Job Type: Permanent. There is a probationary period of 6 months.

Schedule:

* Monday to Friday
* 35 hours per week (8:30am – 3:30pm)
* Full Year - 52 Weeks

Annual Leave:

Annual leave for a Full-time secretary as per DEY Circular – currently 22 days per year to be taken outside of the times when the school would normally be operational (i.e. during Christmas / Easter / summer breaks and mid-terms). Annual Leave may not be taken for two weeks following the last day of the school year and for two weeks preceding the start date of the next school year. Annual Leave must be agreed with the Board of Management.

Job Description:

The successful candidate must have fluent English and excellent organisational and administrative skills relevant to the position. The successful applicant must demonstrate proficiency and experience in Microsoft Word & Microsoft Excel. The successful applicant will be required to undergo Garda vetting prior to beginning employment.

In addition to the listed duties the Secretary will undertake other duties pertaining to the role as may be decided/directed by the School Principal and/or the Board of Management and/or as may be dictated by the needs of the Employer/School. It is expected that the Secretary will, on his/her own initiative, identify tasks/duties that need to be carried out as part of the role subject to the authorisation of the School Principal/Board of Management as appropriate.

The duties listed are not intended to be exhaustive or exclusive

1.00. Such duties as are appropriate to the position as may be assigned from time to time and will include but are not limited to:

1.01. Ensuring the administrative office is occupied at all times for safeguarding children purposes.

1.02. Secretarial services, much of which is confidential and sensitive by nature

General Administration duties including but not limited to the checking and examining documents, accounts, forms, claims etc. for accuracy and consistency as directed.

1.03. Typing correspondence, forms, minutes, letters, memos etc. as directed

1.04. Managing school data including the schools data management system and the Primary Online Database (POD) including GDPR and other regulatory compliance. Filing of documentation.

1.05. Acting as the first point of contact.

1.06. Answering the phone and dealing with queries as directed.

1.07. Arranging meetings as directed.

1.08. Maintaining School Principal's appointments diary.

1.09. Preparing orders, requisitions etc. for signature.

1.10. Making and/or checking arithmetical calculations in accordance with clear-cut instructions.

1.11. Issuing of receipt and recording of cash received in the case of minor transactions.

1.12. Compiling statistics, abstracting and summarising information in accordance with straightforward and well-established procedures, e.g. the preparation of estimates of cost and returns.

1.13. Opening, distribution and sending of post, emails etc. as directed.

1.14. Maintaining stocks of office stationery etc.

1.15. Operating office machines.

1.16. Maintaining inventory of School property.

1.17. Photocopying/laminating

1.18. Message taking and delivery of same.

1.19. Logging onto and inputting data into the DES on line system as directed by the School Principal

1.20. Communicating with parents (Text-a-Parent, website, notice boards etc.) re school closures etc. as directed by the School Principal

1.21. Maintaining up to date records e.g. pupil/parent contact details

1.22. Inputting data as directed on the Schools Data Management system, 'Aladdin' and other systems as directed.

1.23. Continued upskilling on the Aladdin system, as requested by the Principal, to include Aladdin webinars, Aladdin training videos and in-house training on Aladdin.

1.24. Inputting of all 'Registration of Interest to Enrol' forms on the Aladdin system from on the day the form is submitted.

1.25. To make contact with the parents/guardian and/or Emergency contact of all pupils who have not been collected by a parent/guardian and supervise such pupils until such time as a parent/guardian has collected them or alternative arrangements are made to supervise.

1.26. To assist in the training of school staff in areas of administration of the School Office at the direction of the Principal.

1.27. Reception and telephone duties

1.28. Report preparation

1.29. Management of school finances including cash collection, payments, wages, keeping accounts

1.30. Administrative support to the Board of Management

1.40. Managing attendance records, admissions and transfers

1.41. Assisting with pupil welfare including First Aid
