AbouttheRole AsaCustomerServiceExecutive,youwillplayakeyroleinsupportingMedguard'sinternaland externalsales operationsby processingcustomerorders, resolvingqueries, and maintainingaccurate recordsin NetSuite.You'llbe thefirst pointof contact formanyof ourcustomers,ensuringtheyreceive timely, professional,and helpful service.
This role requiresexcellentattention todetail, strong communicationskills, andtheabilityto managemultipleprioritiesin afast-pacedenvironment.
Principal DutiesandResponsibilities Customer Focus Processcustomerordersreceivedviawebsiteoremailpromptlyandaccurately.
Confirm orders, advise customers of deliveryschedulesor stock issues, and suggest suitable alternatives.
ProvideproductinformationorescalatequeriestoKeyAccountManagersasneeded.
Respondpromptlytoemailqueries,acknowledging receiptwithinonehourandensuringtimely follow-up.
Handlephonecallsandemails,resolvingqueriesrelatedtodispatch,shipping,andstockavailability.
Addresspricingdiscrepanciesinpurchaseorders,liaisingwithKeyAccountManagerswhere necessary.
Handlereturnauthorisations,arrangeuplifts,andnotifytheHeadofInternalSalesregarding refunds or credits.
ProcesscustomerreturnsincompliancewithGDPguidelinesandMedguardReturnsSOP.
Remainvigilantregardingtheriskoffalsifiedmedicinesincustomerreturns.
Attention to Detail AccuratelyinputorderdetailsintoNetSuiteandmaintainup-to-datecustomerrecords.
Recordallcustomerinteractions,includingcalls,tasks,and notes,inNetSuite.
Regularlyreviewpendingapprovals,opensalesorders,andquotationstoensuretimelyupdates and follow-ups.
Maintainacleanandorganisedworkspace,tidyingdailyatthestartandendofeachshift.
EnsurecompliancewithSOPs,healthandsafetyguidelines,andenvironmentalpolicies.
Respondtocustomerconcerns,manageassignedprojects,andensuredocumentretention complies with Medguard SOPs.
Communication Skills UseNetSuiteemailtemplatestomaintainprofessionalcommunicationstandards.
Maintaineffectivecommunication withcustomers andcolleaguestoupholdservicestandards.
Preparesalesreportsandparticipateinmonthlysalesmeetingsonarotationalbasis.
Team Collaboration LiaisewithKeyAccountManagersandotherinternalteamstoresolvecustomer queriesand ensure smooth order processing.
ParticipateinannualstocktakesasscheduledbytheWarehouseManager.
Supportinternalsalesinitiativesandcontributetoteamgoals.
Time Management Meetmonthlyinvoicedsalestargetsandminimisecarry-overofunresolvedemails.
Prioritisetaskstoensuretimelyorderprocessingandcustomerfollow-up.
Problem Solving Upsellandcross-sell products whereappropriate, maximising ordervalueandofferingin stock alternatives.
Escalatecomplexqueriesappropriatelywhileseekingtimelyresolutions.
Identify opportunities to improve customer service processes andcontribute tocontinuous improvement.
System Proficiency UtiliseNetSuiteandotherinternalsystemsconfidentlyandaccurately.
Maintain dataintegrityandadhereto systemprotocols.
RequiredExperience andQualifications 2+yearsof experience inacustomer service orinternalsalesrole,preferablyinahealthcareor regulated environment.
ProficiencyinCRMsystemssuchasNetSuiteandMicrosoftOfficeSuite.
Strongattentiontodetailandaccuracyindata entryandrecordkeeping.
Excellentcommunicationandinterpersonalskills.
Abilitytomanagemultipleprioritiesand meetdeadlinesinafast-pacedenvironment.
KnowledgeofGDPguidelinesandSOPcomplianceconsideredanadvantage.
