Office Administrator Job Description
The role of an Office Administrator is a vital part of any organization. As an Office Administrator, you will be responsible for providing administrative support to the Director of Nursing and other staff members.
Main Responsibilities:
* Answer incoming telephone calls, determine the purpose of the callers, and forward the call to the appropriate personnel or department.
* Greet visitors and guests professionally, determine the nature and purpose of the visit, direct and escort the visitors/guests to the appropriate destination or waiting rooms.
* Monitor visitors/guests access, collect, sort, distribute, and prepare correspondence, mail, messages, and courier deliveries.
* Schedule appointments and provide a PA service to the Director of Nursing.
Administrative Tasks:
* Prepare and issue regular Management Reports within prescribed timescales.
* Ensure accuracy and timely reporting of Payroll details to relevant departments.
* Maintain Staff attendance records and ensure accuracy of daily rota.
* Maintain complete files for Residents and Staff Members in line with company policies and procedures and regulatory standards.
Communication and Marketing:
* Participate in Staff and Resident meetings as required.
* Organize communication of meeting details to relevant parties.
* Actively market the Nursing Home and promote a positive personal/professional profile within the local community.
Training and Development:
* Attend mandatory training days/courses as required.
* Take responsibility for record-keeping of all training within the Nursing Home.
Health and Safety:
* Report immediately to the Home Manager or Person in Charge any illness of an infectious nature or accident incurred by a Resident, colleague, self, or another.
* Understand and ensure implementation of the Nursing Home's Health and Safety policy and Emergency and Fire procedures.
General Requirements:
* Earn €13.50 per hour.
* Work Monday to Friday on a day shift schedule.
* Provide Garda Vetting clearance in line with H.I.Q.A. requirements.
Required Skills and Qualifications:
* Good numerical and general administrative skills.
* Knowledge/experience of Microsoft Office specifically MS Word, MS Excel, and email.
* Friendly, positive, confident, well-presented, and customer-focused.
* Professional telephone manner.
