The Flushing YMCA seeks a New Americans Initiative Administrative Assistant responsible for supporting program operations and administrative functions.
Key Responsibilities:Maintain effective filing and administrative systems, manage office inventory and purchases, oversee participant use of laptops, prepare reports, and update documents.Keep program flyers, marketing materials, class schedules, and the New Americans Initiative website current.Manage internal case files, including intake, goals, outcomes, testing, attendance, and case notes, ensuring documentation is uploaded into data portals.Support data entry across systems like ASISTS, DYCD Connect, AS400, and Salesforce; prepare reports for various stakeholders.Communicate with participants, providing information, scheduling, and drafting correspondence.Assist with volunteer recruitment and support, and help report to funders, tracking student data and achievements.Additional Responsibilities:Model hospitality best practices and promote a positive culture.Support programming activities including outreach, recruitment, and participant engagement.Participate actively in trainings, meetings, and events.Desired Skills & Experience:High School Diploma/GED required; Bachelor's degree preferred.At least two years of administrative experience.Knowledge of adult literacy, civic education, immigration legal services, and case management is a plus.Proficiency in Microsoft Office, especially Excel, and familiarity with Windows applications and databases.Ability to work collaboratively, establish positive relationships, and work with diverse populations.Self-motivated, organized, patient, and team-oriented.Benefits:We offer retirement, medical, paid time off, free YMCA membership, and more.
