The Office Coordinator for Speed Fibre Group is responsible for ensuring the smooth day-to-day operation of office environments across multiple Dublin locations, with periodic support to Limerick.
The role provides hands-on facilities coordination, vendor management, and administrative support to the Property & Facilities team, ensuring high standards of workplace experience, safety compliance, and operational efficiency.
This is a highly visible, site-based role requiring strong organisation, ownership, and the ability to proactively resolve issues across a distributed office network.
Key Accountabilities
Facilities & Site Coordination
Act as the primary point of contact for all office-related queries across Dublin and Limerick sites
Coordinate and resolve facilities issues, logging requests with internal teams or external contractors and tracking through to completion
Undertake minor on-site fixes within competence to minimise disruption
Conduct weekly site visits across all Dublin locations to ensure consistent standards
Attend Limerick site on a fortnightly basis to support facilities requirements
Support planned maintenance activities and small works coordination
Maintain visibility of site conditions and proactively escalate risks or issues
Vendor & Supplier Management
Act as key liaison for facilities vendors and service providers
Manage supplier relationships to ensure service delivery standards are met
Resolve accounts payable and invoicing queries in a timely manner
Monitor vendor performance and elevate issues where required
Procurement & Financial Administration
Raise and manage purchase orders across legal entities within Speed Fibre Group
Track facilities-related spend and ensure accurate processing of invoices
Support cost control through appropriate vendor engagement and monitoring
Health, Safety & Compliance
Conduct regular site safety walks across all Dublin/Limerick offices
Perform and record weekly fire alarm tests (as applicable per site)
Support compliance with Health & Safety standards and company policies
Assist with maintaining H&S documentation, metrics, logs, and audit readiness
Identify and elevate any safety risks or compliance gaps
Office & Workplace Management
Maintain office environments to a high standard across all locations
Manage stock levels of office and canteen supplies, ensuring availability and cost control
Coordinate workspace-related requirements to support employees and teams
Support hybrid working arrangements by ensuring offices are operationally ready
Reporting & Audit Support
Collate and maintain records for facilities-related reporting (e.g., waste reporting, cleaner, service logs)
Support internal and external audit processes as required
Maintain accurate documentation across all facilities and administrative processes
Administrative Support (Property & Facilities)
Provide administrative support across the Property & Facilities function, including:
Work order tracking and scheduling
Utilities and rates coordination
Contractor documentation and compliance records
General coordination of facilities activities
Required Qualification/ Expertise
Minimum 3 years' experience in office coordination, facilities support, or office management
Strong organisational skills with the ability to manage multiple sites and priorities
Experience working with vendors and service providers
Proficiency in Microsoft Office (Excel, Word, Outlook)
Ability to work independently and manage time effectively across locations
Practical, hands-on approach to problem solving
Clean full driver's license
The successful candidate will be added to the Company's motor insurance policy for business travel purposes
Access to a pooled company van will be provided as required to support site visits and facilities activities
Regular travel across Dublin sites is required, with fortnightly travel to Limerick
