As we continue to grow our international footprint, we are establishing a new Dublin office to serve as a key operational and strategic hub for the Group.
We are now seeking an experienced and highly organised Office Manager to lead the day-to-day operations of our Dublin office, ensuring smooth administrative, operational, and facilities management while supporting the wider Group's leadership and business activities.
Role Overview
The Office Manager will play a pivotal role in setting up and running the new Dublin office. This is a hands-on position requiring exceptional organisational skills, attention to detail, and the ability to build efficient processes from the ground up.
The successful candidate will oversee the office's administrative functions, coordinate internal operations, manage budgets and suppliers, support HR and onboarding activities, and act as a central point of contact for both internal teams and external partners.
This role will suit someone proactive, resourceful, and comfortable working in a dynamic, fast-paced environment where no two days are the same.
Key Responsibilities
Office Administration & Management
* Oversee the setup and ongoing management of the new Dublin office, including facilities, equipment, supplies, and vendor relationships.
* Implement and maintain efficient office systems, procedures, and policies to ensure smooth daily operations.
* Act as the main point of contact for the Dublin office, ensuring communication and collaboration with Group headquarters.
* Manage office budgets, invoices, and expenses in collaboration with the Group finance team.
* Maintain health, safety, and compliance standards within the office, ensuring all relevant legal and company policies are met.
Operational Support
* Support Group leadership with local operational planning, reporting, and administrative coordination.
* Liaise with IT and facilities providers to ensure seamless connectivity and business continuity.
* Coordinate travel, meetings, and events for visiting team members or external stakeholders.
* Oversee local procurement, supplier management, and contract renewals.
* Assist with operational aspects of new business initiatives or client projects based in Ireland.
People & HR Coordination
* Support the HR team with onboarding, induction, and training of new employees.
* Maintain accurate staff records, holiday schedules, and absence tracking for Dublin-based employees.
* Help foster a positive, inclusive, and productive workplace culture.
* Coordinate staff communications, meetings, and team-building initiatives.
Compliance & Governance
* Ensure the Dublin office complies with local Irish employment, health & safety, and data protection regulations.
* Maintain up-to-date documentation and support audits or inspections as required.
* Work closely with legal and finance colleagues to ensure local statutory requirements are met.
Candidate Profile
* Proven experience as an Office Manager, Operations Coordinator, or similar role (ideally within a professional services or corporate environment).
* Excellent organisational and multitasking skills, with a proactive and solution-oriented approach.
* Strong understanding of office administration, facilities, and operational processes.
* Familiarity with HR and finance administration.
* Strong interpersonal and communication skills, with the ability to liaise confidently at all levels.
* High degree of discretion, professionalism, and confidentiality.
* IT proficient (Microsoft 365, Teams, Excel, and general office systems).
* Experience managing or supporting office setups or relocations is a distinct advantage.
