Job Purpose
To provide administrative and logistical support for construction site operations. This role ensures all site documentation, communication and reporting requirements are effectively managed and that site office functions run smoothly. The Site Administrator will work closely with project teams, subcontractors and suppliers to support the successful delivery of construction projects.
Key Responsibilities
1. Administrative Support
Organise and maintain project documentation, including contracts, permits, inspection records and compliance reports.
Prepare and distribute daily, weekly and monthly reports relating to site activities, attendance records and project progress.
Update project schedules and track milestones for reporting to the Site Manager and Project Manager.
2. Documentation & Compliance
Ensure all documentation is filed in accordance with company procedures and regulatory requirements.
Maintain records relating to safety inspections, training certifications and incident reporting.
Process timesheets, attendance records and payroll-related information for site personnel.
3. Coordination & Communication
Act as a key point of contact between project managers, subcontractors, suppliers and site personnel.
Coordinate meetings, site inspections and safety briefings, including recording and distributing meeting minutes.
Assist with site logistics, including deliveries, access control and subcontractor onboarding.
4. Procurement & Inventory Management
Assist with ordering site materials, equipment and office supplies.
Monitor inventory levels and coordinate with procurement teams to ensure adequate stock availability.
Verify supplier invoices and submit documentation for approval and processing.
5. Health & Safety Support
Maintain up-to-date health and safety documentation and site records.
Assist in ensuring all personnel comply with site health, safety and environmental requirements.
Coordinate emergency drills and maintain emergency contact information.
6. Data Entry & Reporting
Enter and maintain accurate information within project management and company systems.
Generate reports relating to project progress, budgets and resource allocation.
Assist with tracking project costs and maintaining financial records.
Skills & Experience
Experience
Minimum 2 years' experience in an administrative role.
Previous experience within the construction industry is essential.
Familiarity with construction processes, documentation and compliance requirements.
Technical Skills
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint).
Experience using construction or project management software is advantageous.
