About The IRC
Huawei Ireland Research Centre (IRC) mission is to position Huawei as a recognized technology leader and a global provider of information and communications technology (ICT) solutions. To achieve this we are building an industry-recognized multi-discipline Research Centre of experts with focus on medium-term to long-term issues. The IRC will work closely with an open innovative ecosystem with Huawei customers to address real-world issues. The IRC will also engage with key European universities to build a basic research capability to support Huawei technical projects.
About The Role
Are you a detail-oriented professional who enjoys keeping complex operations running seamlessly? We’re looking for a proactive Executive Assistant to provide high-level administrative and organizational support to the leadership team of our Cloud Reliability Lab. In this role, you’ll help the lab run efficiently day to day by coordinating conferences and events, managing travel and scheduling, handling team logistics, and ensuring smooth communication across our research and engineering groups.
The Cloud Reliability Lab at the Huawei Ireland Research Center focuses on advancing the reliability and performance of Huawei Cloud by tackling cross-functional challenges in hardware, software, networking, monitoring, and operations. Our diverse team includes industry experts, researchers, and Ph.D. interns working together on cutting-edge projects. As Executive Assistant, you’ll play a key role in connecting our Dublin-based team with colleagues across Europe, global engineering partners, and corporate headquarters by helping everything stay organized, on time, and running smoothly.
Key Responsibilities
* Screen and prioritize communications on behalf of leadership, manage calendars strategically, and prepare presentations and reports
* Manage meeting logistics including conference calls, teleconferences, agendas, and minutes with clear follow-up actions
* Coordinate conference participation, paper submissions, travel logistics, and speaking engagements for researchers attending major international conferences
* Organize academic seminars, industry partnership meetings, and lab events including visiting researcher coordination and workshop logistics
* Handle personnel administration including onboarding/offboarding, equipment and access provisioning, expense processing, and coordination with HR and finance teams
* Coordinate with headquarters and other research centers as needed to support lab operations as needed
* Maintain relationships with key external contacts including industry partners, academic collaborators, and visiting executives
Requirements
* 3+ years of experience as an Executive Assistant, Office Manager, or Team Assistant supporting senior leadership or technical teams
* Excellent judgment in prioritizing competing demands, protecting executive time, and handling sensitive information with discretion
* Strong organizational skills managing conference deadlines, travel logistics, visitor coordination, and multi-stakeholder meetings
* Professional communication skills for interacting with executives, researchers, industry partners, and corporate stakeholders
* Proficiency in creating presentations, reports, meeting agendas, and documentation in PowerPoint, Word, and Excel
* Proactive problem solver who removes blockers, makes decisions independently, and handles difficult situations diplomatically
* Self-organized with strong attention to detail and ability to multitask in a fast-paced research environment
Preferred Experience
* Experience supporting research, academic, or technical teams
* Track record coordinating international conferences, academic events, or technical symposiums
* Experience working in multinational organizations with distributed teams
* Background managing industry partnerships, collaboration agreements, or external stakeholder relationships
* Familiarity with onboarding processes, equipment provisioning, and access management in technical environment
Location
Dublin, Ireland. This is an on-site role requiring 5 days per week in Dublin 2.
