Background:
Teagasc, the Agriculture and Food Development Authority, is the national body providing integrated research, advisory and training services to the agriculture and food industry and rural communities. We are now recruiting for two temporary administration positions based at our Mellows campus in Athenry, Co Galway. The campus at Athenry is home to the Rural Economy and Development Programme, the Animal and Grassland Research and Innovation's sheep programme and the main advisory office within the Galway/Clare Advisory Region.
The two temporary positions are as follows:
1. Forestry Development Department Administrator .
This post has an indicative duration of 11 months (maternity leave cover). The successful candidate will support the activities of the Teagasc Forestry Development Department.
2. Research Centre Administrator.
This post has an end date of 31st December 2025. The successful candidate will provide administrative assistance to the Animal and Grassland Research and Innovation department.
Basic Function:
Administrators play a key role in contributing to and supporting the achievement of Teagasc's goals as set out in our Statement of Strategy. They provide generalist administration support as well as specific expertise within their area of responsibility. Administrators require excellent attention to detail, communication and organisational skills. They adopt a strong customer service approach to their work and collaborate effectively with colleagues across the organisation. Assigned duties may vary depending on the business unit to which the Administrator is appointed. The following outlines typical duties which may be assigned.
Job Objectives
* Provide general administrative assistance and support to the assigned business unit.
* Utilise various Information Technology systems and applications on a daily basis.
* Communicate and interact with public/customers, for example, respond to queries, provide relevant information, direct queries to the appropriate point of contact.
* Handle incoming and outgoing correspondence including emails, phone calls and post.
* Assist in the preparation of reports, presentations, spreadsheets, letters and other documents.
* Organise and maintain filing systems, both electronic and physical.
* Perform a range of clerical tasks such as photocopying, scanning, data entry etc.
* Provide front of house telephone and reception duties.
* Manage meeting room bookings.
* Operate visitor policy in compliance with relevant security requirements.
* Assist in the organisation and running of events, farm walks, open days etc.
* Take accurate minutes of meetings as required.
* Undertake assigned accounts works such as raising requisitions, collecting and receipting of client contract and service payments etc.
* Maintain high quality records ensuring accuracy at all times.
* To assist management and administrative staff in achieving good governance and risk management through co-operation and adherence to all procedures and practices including GDPR.
* To assist Teagasc in meeting the commitments of the Quality Customer Service Charter and Action Plan.
* To actively participate in the annual business planning and Performance Management Development System (PMDS) processes.
* Fully co-operate with the provisions made for ensuring the health, safety and welfare of themselves, fellow staff and non-Teagasc staff and co-operate with management in enabling Teagasc to comply with legal obligations. This includes full compliance with the responsibilities outlined in the Safety Statement.
* Any other duties as may be assigned from time to time.

Qualifications
* A Level 5 qualification or passed an examination at the appropriate level within the National Framework of Qualifications (NFQ) or equivalent which can be assessed as being comparable to Leaving Certificate standard or equivalent.
* Computer skills training e.g. ECDL/MOUS.
* At least 1 year's administrative experience.
* A Level 6, 7 or 8 qualification in a business or administration related discipline.
