Job Description:
This position is for K2 Data Centres, a company under Kuok (Singapore) Limited, based in Dublin, Ireland.
K2 is seeking an Administrative Assistant to manage and service our data centre infrastructure and facilities, supporting human resources, general office management duties, as well as guest and event coordination activities.
Key Responsibilities:
* Human Resources Support: Serve as the primary point of contact for HR-related queries in Ireland, providing guidance on company policies and procedures. Work closely with Group HR team to manage onboarding and offboarding processes, maintaining employee records and ensuring compliance with local employment laws. Collaborate with HR Business Partners to develop and implement HR policies.
* Training Management: Develop and manage training plans for the Operations team, scheduling trainings and recording them in Easy Generator and SuccessFactors. Transfer toolbox talks from Microsoft Forms to Easy Generator, manage training nomination forms, and oversee training auto-release via the DFM ticketing system.
* Event Organization: Organize company events such as Christmas and summer parties, coordinating logistics like venue, catering, accommodation, transportation, and entertainment. Explore CSR initiatives to enhance community engagement.
* Visitor Management: Order refreshments, greet visitors, and ensure a professional welcome.
* Inductions: Manage site inductions, including reviewing, updating, and data retention in Easy Generator.
* Personal Protective Equipment and Uniforms: Handle ordering, approval, and stock management of PPE and uniforms.
* Other Responsibilities: Support ad hoc projects, mentor new staff, and foster a positive team environment. Maintain organizational excellence, communication skills, understanding of employment law, confidentiality, and proficiency in Microsoft Office.
