The role will act as an Executive Administrator (EA) providing calendar management and scheduling support for a cohort of Associate Vice Presidents (AVPs) who are based out of Sun Life Waterford offices. The Executive Administrator will also act as the main travel coordinator for Sun Life Ireland employees.
The EA will share in front office services for Sun Life Waterford front office, including, management of visitor reception and switch cover.
This is an onsite position, requiring the successful candidate to be located in our Sun Life Waterford office on a permanent basis.
Duties to include:
* Proactively manage the calendars of AVP’s to maximize their time and availability. Anticipate and avoid scheduling conflicts by planning meetings and events in advance as much as possible.
* Schedule & Coordinate meetings, events and training initiatives and any related ancillary activities on behalf of AVP’s, including booking venues, travel arrangements, itineraries, contact names/numbers in collaboration with the Event & Experience Specialist in each location.
* Build network of contacts with executive assistants in other locations, to influence and negotiate scheduling and prioritizing diaries.
* Be familiar with time zones, languages barriers and cultural nuances when engaging stakeholders in other global locations.
* Collaborate with leaders to proactively manage all aspects of their travel arrangements making them as cost and time efficient as possible.
* Collate and submit expense reimbursements for AVP’s in line with Sun Life’s Expense Reimbursement policy.
* Co-ordinate outbound travel for all Ireland based employees with Sun Life’s travel partners and support inbound travel queries for international visitors to Waterford
* Provide cover for main telephone switch for Sun Life Ireland office and cover for visitor reception as required.
Experience Required
* Minimum 5+ years’ experience as administrative assistant, or equivalent, in corporate environment.
* Strong interpersonal & communication skills, both written and verbal, at all levels across the organization.
* Fluent in Microsoft Office suite of applications, including Microsoft Outlook
* Must be able to effectively prioritize tasks and ‘push back’ as necessary to manage calendar.
* Must have a demonstrated track record of success managing competing priorities.
* Experience providing administrative support to multiple parties.
* Quick learner and detail oriented.
* Ability to build strong relationships quickly and develop support network.
Qualification Requirement
* A formal office administration and/or computer skills certification is preferable
