As part of our Kilbeggan operation, we are now seeking a PSV Service Advisor & Warranty Administrator to coordinate service activity while owning the full warranty administration process.The Role.As a PSV Service Advisor & Warranty Administrator, you will act as the primary point of contact between customers, the workshop, manufacturers, and internal teams for all service and warranty-related activity.The role combines service job coordination, customer communication, and warranty administration, ensuring vehicles are processed efficiently, customers are kept fully informed, and all warranty claims are submitted accurately and recovered in line with manufacturer requirements.This is a non-managerial role with no direct responsibility for staff, but it requires strong organisation, attention to detail, and confidence working across multi-stage PSV warranty structures.Key job role includes:As the PSV Service Advisor & Warranty Administrator, your role will include (but is not limited to):Service Coordination & Workflow· Coordinate day-to-day service activity, ensuring jobs are logged, scheduled, and progressed efficiently.· Raise and manage service jobs within the workshop system, ensuring accurate and complete information is captured.· Monitor job progress and liaise with technicians and approved subcontractors to maintain agreed timelines.· Support service planning to minimise vehicle downtime and maximise workshop throughput.· Ensure all service documentation and system records are accurate and up to date.Customer Communication· Act as the primary point of contact for service and warranty customers.· Provide clear updates on job status, lead times, warranty coverage, and completion.· Manage customer expectations professionally, including communication of delays, additional work, or warranty outcomes.· Ensure vehicles are handed back in line with agreed scope, approval, and warranty status.Warranty Administration· Receive, assess, and process warranty claims from workshop and aftersales activity.· Prepare and submit warranty documentation in line with OEM, bodybuilder, and conversion partner guidelines.· Manage warranty claims across multi-stage PSV vehicles, ensuring correct liability attribution.· Follow up with manufacturers on claim progress and respond to rejections or queries with supporting evidence.· Maintain accurate warranty records, claim status, and supporting documentation.· Monitor manufacturer bulletins, recalls, and warranty policy updates to ensure compliance.· Coordinate warranty-related repairs, parts replacement, and supplier engagement where required.· Process internal warranty jobs, including correct documentation, quotation, and invoicing where applicable.· Support reconciliation of warranty and internal job accounts, escalating discrepancies to Aftersales Management or Finance.Cross-Functional Collaboration· Work closely with Workshop, Parts, Aftersales Management, and Finance teams to ensure smooth service delivery and warranty recovery.· Provide updates to management on service workload, warranty performance, and emerging issues.· Contribute to continuous improvement by identifying service or warranty process improvements.Performance will be measured against agreed KPIs, including job turnaround times, service accuracy, warranty claim turnaround, customer communication quality, and system compliance.Qualifications and Experience:· A minimum of 2 years' experience in a Service advisor/warranty administrator role within the commercial vehicle / PSV / HGV sector.· Experience working with Pinnacle DMS, Kerridge or similar system is beneficial.· Strong acumen in IT systems including Office 365 and web-based portals for warranty claims.· Strong Analytical and problem-solving skills.· Strong interpersonal skills.This position offers an exciting opportunity for a dynamic and experienced service advisor to grow their experience with a growing multi franchise company.
