Job Description: Club Senior Administrator Contract Term: Part-Time (16 hrs/wk Tue - Fri) Contract Rate: €25 - €30 p/hr (depending on experience) Location: Sandycove Tennis & Squash Club Overview Sandycove Tennis & Squash Club is a friendly community club dedicated to promoting the skill and social side of both Tennis and Squash.
We are currently looking for a Senior Administrator to join our team and provide support to the Club Members and Club Committee in the areas of Finance, HR and administration.
Job Summary: The Tennis Club Senior Administrator is responsible for overseeing the day-to-day operations of the club, ensuring a high standard of service to members and guests.
The role includes managing club facilities, supporting programs and events, supervising staff, and overseeing all financial administration, including budgeting, reporting, and bookkeeping.
The team includes two sports development officers, a cleaner, a groundsman and ad hoc bar staff.
This role is key to supporting the clubs long-term strategic goals and financial sustainability.
Key responsibilities: Operations & Facility Management: ? Ensure the smooth daily operation of the clubhouse, courts, and associated facilities ? Work with the relevant committee member to coordinate routine maintenance and liaise with contractors as needed ? Oversee security, cleanliness, and health & safety compliance across the premises ? Improve, update and document processes Financial Administration: ? Maintain accurate financial records across income, supplier invoices, payment processing, petty cash and reconciliation of accounts including bank accounts ? Payroll - Process monthly & fortnightly payroll & update Revenue (ROS) systems accordingly (Note we currently have 8-10 employees) ? Manage the fixed asset register of the Club ? Work with the Treasurer and/or accountants to prepare monthly accounts, annual budgets and financial statements ? Ensure timely submission of relevant taxes, insurance, and regulatory obligations ? Assist the membership officer with membership renewal process ? Update the Clubs financial policies & procedures as required Staff & Contractor Management: ? Supervise part-time staff, contractors, and volunteers as needed ? Schedule shifts and manage workloads in coordination with staffing needs and events ? Liaise with both the Sports development officers on their respective areas of membership and junior tennis Governance & Compliance: Support the committee with the following: ? Adherence to club rules, policies, and legal obligations ? Maintenance of documentation such as insurance, lease agreements, licenses, and health & safety protocols ? Update of policies as needed ? Submission of grant applications ? Attendance at monthly committee meetings (evenings) and presentation of reports or updates as requested ? Making arrangement for the AGM and other key bookings Other : Various incidental activities to ensure the smooth running of the club which may be assigned from time to time Essential competencies: ? Proven experience in club, hospitality, sports, or community management.
? A third level qualification in business or accounting ? Strong financial administration, forecasting and budgeting skills.
? Prior experience of using an accounting package (e.g.
Big Red Cloud, Xero, SAGE) ? Good Microsoft Excel and database skills.
Desired competencies: ? Experience using online systems (membership, bookings etc.) ? Knowledge of tennis or sports club operations ? Proficient IT skills, in particular Google Workspace and Microsoft packages Personal qualities: ? Excellent interpersonal and communication skills.
