Spencer Recruitment is partnering with our client, a leading sporting organisation, to appoint a Facilities Executive.This is a key operational role within a fast‑paced organisation, responsible for ensuring office facilities run smoothly and efficiently. The successful candidate will play a central part in ensuring that staff, athletes, and visitors experience a safe, well‑maintained, and welcoming environment every day.Reporting to the Chief Financial Officer, the postholder will oversee facilities operations across multiple sites, with responsibility spanning health and safety compliance, fleet management, and office and IT coordination.About the JobOperational role based on‑site across multiple Dublin locationsFast‑paced sporting organisation environmentOpportunity to take on a broad facilities remit including health & safety, fleet, and office managementThe RoleAct as the main point of contact for staff and athletes across office facilitiesCoordinate planned and reactive maintenance with external contractorsMonitor building systems and conduct regular site inspectionsAct as designated Health and Safety Officer and Fire Safety ManagerManage the domestic car fleet and related insurance policiesOversee office space, IT coordination, mobile phones and laptop managementContribute to sustainability initiatives and continuous improvementManage facilities and event budgets in a cost‑effective mannerKey ResponsibilitiesFacilities OperationsMaintain close relationships with stakeholders at each facilityTrack contractor performance and ensure work is completed to required standardsMonitor building systems (air conditioning, alarms/security, lighting, access control)Conduct regular premises inspections to identify hazards and improvement opportunitiesHealth, Safety and ComplianceMaintain compliance with health and safety regulations, including record‑keeping and reportingParticipate in fire drills, safety audits, and incident investigationsSupport implementation of safety procedures, emergency plans, and risk assessmentsRecruit and manage Fire Safety Officers and First AidersAct as first responder to alarm call‑outs outside of normal office hoursFleet ManagementManage the domestic car fleet and insurance policiesAct as point of contact for lease and insurance providersIssue guidance to drivers on processes for accidental damageOffice Space and IT ManagementAssist with office layout planning, desk moves, and space utilisationManage stock levels of office supplies and consumablesCoordinate meeting room setup, event logistics and cateringManage relationship with external IT helpdeskOversee mobile phone and laptop management for new and existing staffAbout YouMinimum 3 years' experience in a similar facilities roleKnowledge of current Health and Safety regulationsStrong organisational and multitasking abilitiesExcellent communication and problem‑solving skillsAbility to build effective working relationships with key stakeholdersEnergetic, reliable, and self‑motivated with a positive, can‑do attitudeProficiency with standard office software (Outlook, Excel, Teams)Flexibility to work outside normal office hours when requiredThird level qualification in Facilities Management or Health and Safety (desirable)Interest in or experience of working in a dynamic sports environment (desirable)What's on OfferPermanent, full‑time positionOn‑site role in DublinOpportunity to work within a high‑profile sporting organisationVaried and dynamic role with broad operational responsibility
