We are looking for a person like you, to join our DART project in Dublin and help us to continue improving people's lives.
This opportunity is offered on a 1-year fixed-term contract, with the potential for renewal.
Working hours are Monday to Friday, 8:30 AM – 5:30 PM.
The Document Controller / Administrator is responsible to carry out daily project office administrative tasks, maintain project documents, create reports, ensuring that accurate information is distributed throughout an organisation, taking appropriate direction from the Electrification Manager and nominated line managers.
Duties and responsibilities of the position:
Coordinate and manage information flows between the various sections within the DART Electrification department.
Archive files and ensure all team members have access to necessary documentation.
Following project plans and programming.
Liaising with central IT, Quality and Governance structures.
Liaising with head office when required.
Placing orders and raising purchase orders.
Arranging third party access accounts for new and existing team members.
Creating procedures related to the control and management of project documentation.
Responsible for document control activities.
Dealing with deliveries to building and various suppliers.
Organise and file current document backlog from project job packages per the company's current filing process.
Transmit documentation and submittals through the SharePoint system.
Receive, log, and track plans and specifications as received including all revisions.
Distribute through SharePoint, plans and specifications to team members.
Maintain electronic copy files of project documentation.
Support project team in regard to submittals, drawings, specifications, and other project documents.
Performs other related duties as required and assigned.
Create, track and submit timesheet weekly and monthly summaries to client.
Arrange meetings as required.
Attend meetings, write minutes and distribute.
We are looking for a profile with the following requirements and competences:
Right to work in Ireland
Previous project administrative experience in an office environment.
A Team player
Excellent MS Office skills, particularly Word & Excel.
Knowledge of SharePoint administration and quality control processes within a PMS (Project Management System).
Training will be provided.
Excellent Communication skills.
Knowledge and proven ability in planning, organising and implementing work priorities to ensure the orderly flow of project documentation throughout the process.
