The EHR Service Specialist is responsible for supporting the effective governance, development, learning, training, upgrading, and ongoing support of the Meditech Electronic Health Record (EHR) system within assigned departments and functions across the Mater Private Network Health System. This role ensures that EHR services are tailored to meet the unique needs of users, driving adoption, compliance, and proficiency. Acting as a bridge between EHR users and broader organizational strategies, the Specialist facilitates seamless operations, enhances system performance, and contributes to continuous improvement efforts. This role is integral to ensuring that EHR users across the Mater Private Network Health System are empowered with the tools, knowledge, and support they need to optimize their workflows and deliver exceptional patient care. By driving governance, training, and user engagement, the EHR Service Specialist plays a critical part in the successful adoption and utilization of the Meditech EHR platform.

EHR Governance and Compliance

Implement EHR governance policies and standards within assigned departments/functions to ensure consistent and effective usage.

Monitor compliance with regulatory and organizational requirements related to EHR data security, privacy, and operational integrity.

Regularly review and update governance frameworks to align with changes in regulations and system capabilities.

Collaborate with leadership to ensure departmental alignment with overall EHR governance objectives.

2. System Development and Upgrades

Support the deployment of EHR system upgrades, ensuring seamless integration with departmental workflows.

Test and validate new features and functionalities, providing feedback to improve system usability and performance.

Identify opportunities for enhancing system configurations to better serve the operational needs of assigned departments/functions.

Collaborate with IT teams to troubleshoot and resolve technical challenges impacting system performance.

3. Training and Professional Development

Develop and deliver tailored training programs to enhance user proficiency and confidence in EHR functionalities.

Provide refresher training and update sessions to ensure users remain informed of system changes and new capabilities.

Create and maintain userfocused training resources, including guides, tutorials, and FAQs.

Work closely with department heads to assess specific training needs and deliver customized learning solutions.

4. User Support and Continuous Improvement

Serve as the first point of contact for EHRrelated queries and issues within assigned departments/functions.

Gather user feedback to identify common challenges and develop strategies for system enhancements.

Facilitate communication between users and technical teams to ensure swift resolution of issues and alignment on system improvements.

Promote a culture of continuous improvement by regularly reviewing EHR usage metrics and recommending actionable changes.

5. Collaborate

Positive collaboration with the management team and executives, acting on pressure points and delivering the highest quality information, advisory and consultation when required

6. Comply

Ensure full compliance as per internal guidelines (e.g. Code of Conduct, Quality and H&S) and applicable external regulations and agreements.

Support internal and external audits in your department including any local JCI requirement in a timely manner.

Promote the mission, vision and values of the hospital and support hospital polices & procedures - in particular the culture of safety and the code of conduct.

Skills & Experience

Minimum 1 years of successful experience in a in an IT / Data / Systems department in a business of sufficient scale and complexity

Successful experience in delivering performance improvement initiatives

Excellent analytical and organizational skills.

Strong project management skills with a record of developing and strengthening systems and processes

* Minimum Level 7 NVQ Financial/Professional/Clinical qualification required
