Job Overview:
This role involves managing group reservations at a leading hotel, ensuring an efficient experience from quotation to contract.
The Group Reservations Supervisor is responsible for quoting, converting and managing all group accommodation enquiries, ensuring that the hotel's revenue and reservations strategy is implemented to fully optimise hotel revenue.
2. Enter all groups into Opera correctly with relevant notes, traces and rates.
3. Action daily group traces and chase or cancel groups on option in time.
4. Coordinate information/queries in advance with Hotel Operations.
5. Recognise regular and repeat business and clearly note special requests for Reception.
6. Complete weekly/monthly group reports.
7. Filing should be completed in an efficient and timely manner.
8. Upsell and recommend hotel facilities at all times.
9. Be knowledgeable of hotel market pricing and review pricing accordingly.
10. Implement sell guidelines for groups and coordinate management closely with relevant hotel teams.
11. Proactively identify low demand periods and develop a plan to improve performance.
12. Ensure effective implementation and compliance of all company Group Reservations SOPs.
13. Attribute all group revenue to the correct revenue category and market segment.
14. Assist individual reservations as required.
15. Recognise sales leads and pass them on to the Sales office.
16. Work closely with the Sales & Marketing Manager to ensure key group decisions align with hotel policy.
17. Collect payment of accommodation and refer billing/payment queries to the Revenue & Reservations Manager / Sales & Marketing Manager.
18. Pass on all information for group bookings to Reception to ensure every guest has a problem-free stay.
19. Occasional weekend/Bank Holiday cover may be required.
