ABOUT THE JOB
Harvey Norman Ireland is seeking a Dropship Administrative Assistant to join our award-winning Digital team.
Harvey Norman’s website offers customers access to thousands of products. Our Marketplace and Dropship operations help expand that range and support efficient fulfilment through supplier partnerships.
Reporting to the Head of Dropship, this role supports the day-to-day administration behind our online marketplace and dropship operations, helping suppliers, customers and internal teams keep orders, invoices, product information and delivery updates moving accurately.
This is an excellent opportunity for someone who enjoys structured administration, clear communication, Excel-based tracking and practical problem-solving in a fast-moving online retail environment.
You do not need previous dropship or marketplace experience. This role may suit someone who has built strong admin and follow-up habits in retail operations, customer service, pharmacy, hospitality, supplier support, accounts administration, office administration, logistics, ecommerce, or team supervision.
THE ROLE
Your tasks will include:

Support supplier onboarding tasks.
Help maintain trade agreement and supplier documentation.
Assist with product proposals and product creation.
Communicate clearly with suppliers on setup, product, order and documentation queries.

Transaction and order administration:

Generate and monitor dropship orders to suppliers.
Request, check and process supplier invoices.
Monitor delivery status of dropship orders.
Keep internal records, trackers and systems accurate and up to date.
Escalate delays, mismatches or missing information where needed.

Customer Service Administration:

Help resolve delivery issues by communicating with suppliers, customers and internal teams.
Monitor returns, replacements and related follow-up actions.
Support general administration across the Dropship / Marketplace function.

YOUR PROFILE
Your knowledge, skills and experience will include:

Highly organised, dependable, and detail-focused, with strong attention to detail and follow-through.
Strong written and verbal communication skills, with a clear and professional approach when communicating by email and phone.
Confident using Microsoft Office, particularly Excel and Outlook.
Comfortable working through structured administrative tasks, including follow-ups and daily coordination.
Strong analytical and problem-solving skills, with a calm and practical approach to resolving day-to-day issues.
Experience maintaining accurate records, trackers, and paperwork, ensuring all actions are completed correctly.
Comfortable managing and responding to queries from customers, suppliers, and internal teams.
Willingness to learn new systems, processes, and standard operating procedures.
Able to manage and coordinate daily tasks effectively while maintaining accuracy and efficiency.
A qualification in Business, Finance, Accounting, Supply Chain, Ecommerce or a related area is welcome, but not essential. Practical experience in a busy operational, customer-facing or administration role is equally valuable.

Additional Information

This is a permanent contract subject to a six-month probationary period.
This role is based in our Head Office in Swords, Co. Dublin.
The successful candidate will be required to attend a company induction day in Dublin City Centre.
