Children's Books Ireland is seeking an administrator on a part-time fixed-term basis to support the delivery of the KPMG Children's Books Ireland Awards

Children's Books Ireland is seeking a highly organised administrator to join our team on a part-time fixed-term basis to support the delivery of the KPMG Children's Books Ireland Awards.

ABOUT THE ROLE

The Awards Administrator will support all aspects of the delivery of the KPMG Children's Books Ireland Awards. They will manage all aspects of the administration of the Junior Juries' programme, from recruiting new groups to sending certificates of completion. This position will involve working closely with colleagues in the areas of communications, media relations and event management.

Reporting to the Programme & Events Manager, the Awards Administrator will:

1. Drive recruitment of Junior Juries in schools, libraries and communities, working with a range of partners island-wide
2. Maintain a database of registered groups
3. Manage all communications with Junior Juries including the mailout of resource packs, handling queries, collating scores etc
4. Work with shortlisted artists and Junior Juries to organise artist visits or online workshops between February and May 2026
5. Support the smooth running of KPMG Volunteer Day by organising visits from KPMG staff to schools nationwide
6. Work with external suppliers and Junior Juries to place book orders and ensure distribution to a fixed timeline
7. Select Junior Jury groups to receive free books and artist events
8. Contribute to the development of materials in relation to the awards, assisting the Deputy CEO
9. Assist in the coordination of Garda vetting where required
10. Assist with the filming of Junior Juries for promotional video to be screened at the awards ceremony and used on social media
11. Attend events where required island-wide, including but not limited to the awards ceremonies on February 4th and May 18th 2026
12. Work with the Programme & Events Manager to oversee some elements of the budget in relation to Junior Juries
13. Assist in the production of reports including statistics for various funders and stakeholders
14. Work closely with the Communications Manager and Social Media Officer to generate content for various social media platforms
15. Facilitate the evaluation of the Junior Juries' programme, working closely with the Research & Evaluation Officer
16. Attend regular meetings with sponsors

REQUIREMENTS:

17. Must be able to confidently carry out the responsibilities outlined above while working independently and as part of a small, creative, fast-paced team
18. Strong interpersonal skills and the ability to work efficiently with a wide range of partners
19. Meticulous attention to detail
20. Strong project management, multitasking, and decision-making skills
21. Excellent digital literacy, with a high level of proficiency in MS Word, Excel, Powerpoint, Outlook and ability to use Dropbox and Slack
22. Working knowledge of arts in education or experience working with artists or in a school environment
23. An understanding of and experience working in the arts or charity sectors
24. Proficiency in the Irish language
25. Driving licence and access to a vehicle

DESIRABLE, BUT NOT ESSENTIAL:

Reporting To: Programme & Events Manager

Location: First floor, 17 North Great George's Street, Dublin 1. The successful candidate will have the choice of working fully in person or on a hybrid basis, and will be expected to work from the office at least one day a week.

Start date: 7th January 2026

Contract duration: January 2026 until the end of May 2026, fixed-term. There may be an option to renew on the same timeline for future years if mutually agreed.

Hours of work: 21 hours per week; working hours are flexible between 8 a.m. and 6 p.m.

Remuneration/benefits: €17,845.80 per annum or €1,487.15 per month. 5% matching pension contribution from start date. 15 days' annual leave (pro rata; 6 days over the duration of contract). Ability to work flexibly. Mobile phone allowance of €21 per month and work from home allowance of €3.20 per day provided. Mileage will be paid in line with company policy for approved travel, and all staff who drive for work must have appropriate insurance in place at their own expense.
