The position combines traditional PA duties with project, quality & administration support. The Executive Assistant has full administrative ownership of managing schedules, communications, and various organisational tasks to ensure efficient operations.Primary Duties And ResponsibilitiesDuties and ResponsibilitiesMain Duties: Manage the C-Suites diary, scheduling, and travel arrangements.Prepare briefing materials, agendas, and follow-up actions for meetings.Act as a gatekeeper for communications, ensuring prioritisation and confidentiality.Coordinate board-level communication and arrangements.Assist with cross-functional projects and executive communications.Act as a first point of contact for internal and external stakeholders, ensuring a professional and seamless experience.Produce exceptional quality documents, presentations, reports, and correspondence as required.Liaise with internal and external stakeholders professionally and effectively.Support, where necessary, any complex travel or transportation for the executive team.Prepare reports, presentations and meeting materials.Coordinate events, meetings and logistics.To exercise discretion and maintain confidentiality at all times.Quality & AuditParticipate as required in audit and research activity within the field, promoting a positive attitude towards the implementation of evidence- based practice.Undertake research/ audit as necessary, critically analyse and provide written reports of the same.Participate in local audits in preparation for annual accreditation.Work closely with the Quality and Patient Safety team, ensuring the department is meeting accreditation standards at all times.Education RequirementsQualifications & Experience:Eligible Criteria: The Post holder must hold the following to fulfil the requirements of this post:5+ years of general administration experience.Strong attention to detail.Strong organisation skills.Possess excellent interpersonal skills and the ability to communicate effectively with C-Suite management, consultants, staff, patients, public and outside agencies.Ability to work as part of team and own initiative.Time management skills.Thrives under pressure and maintains composure in a fast-paced environment.Anticipates needs and solves problems before they arise.Proficient in Microsoft Office Suite and collaboration tools such as Slack.
