Job Title: Conference & Events Operations Co-Ordinator

Scope & Role Profile

The Conference & Events Co-Ordinator will lead all logistics and support the delivery of exceptional events across UCD University Club, O'Reilly Hall, and campus-wide venues, while driving strategic stakeholder engagement to strengthen UCD's Global reputation as a premier educational conferencing hospitality brand.

The role blends hands-on operational delivery of conferences and events (from contracting to post-event follow-up), maximising commercial performance, building sustainable client relationships, delivering new business and ensuring UCD remains at the forefront of Ireland's academic conferencing sector.

The post holder will manage the events calendar, coordinate internal and external stakeholders, and champion innovation, sustainability, commercial growth, and inclusivity in all service aspects.

Principal Accountabilities

Event Management & Operations – for allocated business and accounts

* Lead the planning, coordination, and delivery of conferences and events across O'Reilly Hall, the University Club, and wider campus venues.
* Oversee the entire event journey — from contracting, planning, and supplier liaison through to onsite management, invoicing, and post-event evaluation.
* Ensure events are delivered to the highest professional standards, in line with UCD's service ethos and international best practice.
* Assist with site inspections and provide a visible presence during key events.
* Collaborate with catering providers, AV suppliers, and facilities teams to ensure seamless delivery.
* Maintain and update the Conference & Events Office Operational Manual and Standard Operating Procedures.
* Manage rosters and schedules for operations and cleaning teams, ensuring efficient resource allocation.
* Ensure compliance with UCD's health, safety, and licensing requirements at all times.

Stakeholder Engagement & Relationship Management

* Build, manage, and grow relationships with UCD Estates, internal UCD partners, clients, sponsors, and external stakeholders.
* Build collaborative partnerships across the University to ensure commercial initiatives complement academic objectives and brand integrity.
* Proactively enhance the value of UCD's events' offer by excelling in operational engagement throughout the client journey.
* Collaborate with the Marketing team to design and execute targeted campaigns to convert enquiries into bookings.
* Work across campus with Colleges, Schools, and administrative units to promote UCD venues as first-choice hosting locations.
* Lead account management standards, ensuring client needs are anticipated and exceeded.
* Support UCD's leadership team in developing global partnerships through conferencing, hospitality, and events.
* Ensure stakeholder engagement activities reflect UCD's equality, diversity and inclusion
* Committed to sustainable practices that align to the UCD Strategy 2030

Strategic & Commercial Development

* Assist with the development of a three-year strategy plan that maximises the commercial and operational potential of UCD's venues.
* Track revenue growth, cost efficiencies, and opportunities for scalable expansion.
* Assist with all reporting on events and stakeholder engagement to the UCD Global Board, including strategic alignment and growth targets.
* Assist with ongoing market analysis and competitor benchmarking to inform business development.
* Drive innovation in product offerings, client journeys, and sustainability practices.
* Create upselling and cross-selling opportunities in collaboration with Marketing, F&B, Accommodation and Operations teams.

Team & Culture

* Promote a culture of collaboration, innovation, and continuous improvement with all team members and cross-campus stakeholders.
* Ensure compliance in health & safety, first aid, event management, and customer service audits
* Foster an inclusive, positive, and flexible working environment.

Selection Criteria

Essential

* Minimum 3 years' professional experience in conference and events management (preferably including international conferences).
* Proven track record in stakeholder engagement, account management, and client relationship development.
* Demonstrable track record in sales or business development with measurable results (e.g. revenue growth, new client acquisition).
* Excellent project management, organisational and prioritisation skills.
* Demonstrable experience in managing suppliers and operational partners.
* Outstanding communication and negotiation skills (written and oral).
* Strong administration skills and systems awareness.
* Knowledge of health & safety, licensing, and compliance in events.
* Ability to manage multiple projects simultaneously and work under pressure.
* Customer-focused mindset, with proven ability to deliver outstanding experiences.
* Cross-collaboration within multiple stakeholder teams.

Desirable

* Third-level qualification in Event Management, Business, or related field.
* Experience with e-procurement and financial administration systems.
* Familiarity with the UCD campus or higher education sector.
* Knowledge of sustainability practices in events (waste reduction, green procurement, sustainable catering).

Salary Range:
€35,000-€45,000 per annum
