Job Description:Property ServicesAdministratorResponsible To:Team LeaderResponsible For:N/ALocation:DublinContract:Full Time PermanentJob Summary:As Property Services Administrator your main responsibility is to support with all aspects of administration within the Property Services Team and to provide support to other teams and regional offices as required. Your role as Property Services Administrator plays a key role in ensuring that both responsive repairs and void (empty) property turnaround processes run efficiently. They are the link between customers, contractors, and the repairs team.The following list is typical of the level of duties which the post holder is expected to perform or be responsible for. It is not necessarily exhaustive and other duties of a similar type and level may be expected from time to time. The post holder will be responsible for a combination of the objectives described below and annual KPIs dependent upon the requirements of the organisation.KEY RESPONSIBILITIES (Functional):Raise and issue works orders to contractors or internal maintenance teams.Schedule appointments and ensure tenants are informed of repair times.Track repair progress and follow up on incomplete or overdue jobs.Update repairs records in the housing management system.Manage emergency and urgent repairs, ensuring they are dealt with promptly.Deliver an effective day-to-day service within the team to provide excellent customer service?Process and reconcile contractor invoices and ensure jobs are completed satisfactorily before payment.Receive void notifications and input them into internal systems.Coordinate pre-void and post-void inspections with surveyors or property officers.Raise void works orders for cleaning, clearance, repairs, safety checks, etc.Liaise with contractors to ensure void work is completed within target timescales.Update void status at each stage (inspection, works in progress, ready to let).Maintain void trackers to support performance monitoring and reporting.Assist lettings team by confirming when properties are ready for re-letting.Scanning documents on system.Maintain accurate property and asset data in systems,Updating various data sources.Supporting the production of reports and communications to customers.Inputting and extracting data from management system. Knowledge of Microsoft Excel essential.Providing general administration support to the Team as required including, but not limited to, postage and file management.Sorting and distributing incoming post and organising and sending outgoing post, including mail merges.Taking incoming calls and addressing them to the relevant party.Any other duties as required.KEY RESPONSIBIITIES (Organisational):Provide input into the Operational plans.Adopt a collaborative and supportive approach, maintaining up to date professional knowledge and providing advice and assistance to colleagues as required.Provide statistical data, information, and testimonials for annual report.In all aspects of the company's work, promote effective communications, excellence in customer service, and a focus on continuous improvement.Be pro-active in the development and maintaining of strong networks and relationships with colleagues and in other organisations and agencies, to ensure excellence in service delivery.Health and Safety ResponsibilityTo conduct all activities in a manner which is safe to yourself and others. To be aware and to act in accordance with Tuath's Health and Safety Policy.Ensure all appropriate health and safety risk assessments are in place and making sure colleaguesare aware of and adhere to any specific instructions and use personal protective equipment whererequired.Ensure that team members are aware of any risks associated with their role, adhere to any specificinstructions, and use personal protective equipment where required.This job description is not definitive or restrictive and will be subject to periodic review.
