Contract Coordinator

You will play a key role in the development and coordination of contracts for clinical research projects, working closely with operational, legal, and commercial teams. Your primary responsibilities include preparing, reviewing, and coordinating contracts and change orders, as well as managing multiple contracts simultaneously to ensure accuracy and timeliness.

Key Responsibilities:

1. Prepare, review, and coordinate contracts and change orders, including start-up agreements, for new and existing projects.
">

2. Manage multiple contracts simultaneously, ensuring accuracy and timeliness in delivery.
">
">
3. Collaborate with operational, legal, and sales teams to determine appropriate terms and conditions for inclusion in agreements.
">
">
4. Participate in on-the-job training to develop knowledge of ICON's costing tools, budget templates, and client-specific requirements.
">
">
5. Request and incorporate feedback from operational departments during contract development.
">
">
6. Create cash-neutral payment schedules in line with project requirements.
">
">
7. Work closely with assigned Contract Manager to flag issues requiring legal or senior management input.
">
">
8. Maintain accurate, up-to-date records in Salesforce, ensuring clear tracking of contract status.
">
">
9. Support preparation and review of contract files, project budgets, and related documentation ahead of internal quality control checks.
">
">
10. Communicate proactively with project teams and clients regarding contract and change order progress.
">
">
11. Provide essential input for negotiations and discussions with clients, supporting Contract Managers, Sales teams, and Project Leads as needed.

12. Attend client-related meetings and assist with contract-related discussions and follow-ups.

Requirements:

13. A Bachelor's or Master's degree in Business, Life Sciences, or a related field.
">
">
14. 1–2 years' experience in an administrative, coordination, or support role.
">
">
15. Advanced Excel skills and confidence working with data and templates.
">
">
16. Excellent communication skills, both written and verbal, with a strong sense of professionalism.
">
">
17. Strong attention to detail and ability to manage multiple priorities with accuracy and efficiency.
