Overview
This role is a key member of UPMC's procurement function. In addition to administrative tasks, the person will work closely with suppliers, the warehouse and purchasing teams, and internal stakeholders to manage master data in the ERP system.
Key Responsibilities
1. Purchase Order Management: Generate, review, and process purchase orders accurately and efficiently for clinical consumables and non-stock items. Ensure all purchase orders are accurate and appropriate for the type of spend, properly documented, approved, and controlled.
2. Vendor Management: Communicate with suppliers to obtain quotes, negotiate terms, and resolve issues. Maintain and update vendor information, including contracts, pricing, and performance evaluations.
3. Inventory Control: Monitor and track inventory levels to prevent shortages or excess stock. Coordinate with relevant departments to optimize inventory levels and reduce costs.
4. Record Keeping: Maintain organized and up-to-date procurement records and documentation. Prepare reports on procurement activities as needed.
5. Cost Containment: Analyze procurement costs and identify opportunities for cost savings. Collaborate with finance teams to ensure accurate budgeting and cost control.
6. Compliance: Ensure compliance with company procurement policies and relevant regulations. Keep procurement documentation maintained and create new documents as required. Stay up to date with industry best practices and procurement trends.
7. Procurement Team Support: Provide administrative support to the Procurement Manager, including scheduling meetings, preparing presentations, and handling day-to-day enquiries.
Qualifications & Experience
* 5+ years of experience working in a procurement team
* Financial qualifications
* Healthcare experience advantageous
* Strong systems, Excel, and PowerPoint skills
* ERP experience, especially SAP or Meditech
