The successful candidate will be responsible for delivering high-quality service to clients within the Dublin Shareholder Services team. This role involves managing investor inquiries via email and phone, ensuring accurate and timely responses in accordance with established Service Level Agreements (SLAs). The Administrator will also be responsible for completing ad-hoc tasks and reporting, while providing support to other team members as required.
Primary Responsibilities
Operations
* Respond to standard and ad-hoc investor and distributor inquiries in a professional manner.
* Handle incoming telephone calls, delivering a knowledgeable and courteous investor experience.
* Prepare both routine and ad-hoc client and regulatory reports as required.
* Assist in the document receipt and processing workflow as needed.
* Collaborate with other SHS teams to ensure timely resolution of client requests and queries.
* Escalate issues appropriately to ensure prompt resolution.
Quality Customer Service
* Deliver an exceptional client experience by responding accurately and within agreed SLAs to all inquiries.
* Communicate ongoing or unresolved issues to the Manager and suggest practical solutions.
* Utilize the CRM system effectively to track and manage all client interactions, ensuring timely resolution.
* Engage in cross-training initiatives to support development and team coverage.
* Assist colleagues during periods of high volume or staffing shortages.
* Identify and escalate recurring client issues to management.
* Promote a collaborative environment by sharing knowledge and offering support to team members.
Authorities, Impact & Risk
* Ensure adherence to deadlines and accurate handling of investor instructions to mitigate financial and reputational risks.
* Serve as a primary point of contact for investors and distributors.
* Play a vital role in maintaining efficient workflows and contributing to team performance.
Key Relationships
* Internal: Team members, Supervisor, Manager, Department Management, SHS teams in Kuala Lumpur and Luxembourg
Experience
* Minimum 1 year of experience in Shareholder Services or a similar customer service environment.
* Exposure to investor, distributor, or client communication within the funds industry.
* Strong understanding of the funds sector.
* Proficiency in French, German, Italian, or Spanish
