EHR Project Operations Manager Location: Dublin / Kildare / Kilkenny / Waterford Job type: Specified Purpose Overview of role: The Project Operations Manager will play a central role in supporting the successful implementation of the Cram Electronic Health Record (EHR) across UPMC Ireland. This role is embedded within the Programme Senior Management Team (SMT) and is responsible for driving project planning, execution, governance, and reporting across multiple workstreams within the Cram implementation. The ideal candidate will bring proven experience in healthcare IT project delivery, excellent stakeholder management skills, and a structured approach to project governance, risk management, and resource coordination. Primary Duties and Responsibilities: General Accountabilities The Project Operations Manager will champion a culture of collaboration, transparency, and continuous improvement across the programme, ensuring all activities align with UPMC Ireland's strategic goals, clinical priorities, and regulatory standards. They will maintain accurate project documentation to support operational readiness and knowledge transfer, uphold data privacy, cybersecurity, and patient safety standards, contribute to PMO best practices, and represent the EHR Programme in internal fora. Programme Support & Coordination: Develop and maintain the detailed PID/Charter, project plans, timelines, and resource allocations across assigned workstreams. Coordinate with clinical, technical, and vendor teams to ensure alignment of milestones and deliverables. Proactively manage project risks, issues, benefit estimation and dependencies, ensuring timely resolution and escalation where necessary. Use and administer relevant tools for tracking project documentation and registers/logs etc. Support the integration of Meditech modules across clinical, operational, and administrative domains. Governance & Reporting: Uphold programme governance structures, PID/Charter, including RAID logs, decision registers, and change control processes. Prepare and deliver regular status reports, dashboards, and updates to steering committees and executive leadership. Ensure compliance with project management standards, templates, and documentation protocols. Communication & Stakeholder Engagement: Act as a key liaison between the Programme team, workstream leads, and external vendors (e.g., Meditech, Nordic). Facilitate cross-functional meetings, workshops, and decision-making fora. Ensure timely communication and alignment across all stakeholder groups, ensuring transparency in project status, risks and decisions. Documentation & Governance: Maintain accurate and up-to-date project documentation, including the PID/Charter, risk logs, decision registers, and change logs. Support governance processes by preparing materials for steering group and senior management meetings. Assist in documenting lessons learned and continuous improvement initiatives. Ensure compliance with statutory and regulatory requirements related to clinical safety and digital health. Qualifications & Experience: Required: Bachelor's degree in Project Management, Healthcare Administration, IT, or a related field. Minimum 3 years of experience in project management, with at least 2 years in healthcare IT or EHR implementations. Strong understanding of project governance, risk management, and stakeholder engagement. Proficiency in project management tools (e.g., MS Project, Smartsheet, Jira). Preferred: Experience with Meditech Expanse or other EHR platforms (e.g., Epic, Cerner). Project management certification (e.g., PMP, PRINCE2).
