Senior AdministratorThe Senior Administrator is a key member of the New Homes team, supporting senior leadership across all stages of project delivery — from construction through to customer sales and handover.This role involves coordinating with external professionals, sales agents, legal advisors, and construction teams to ensure that essential documentation is prepared accurately and on time at each stage of the new homes process. The successful candidate will also support engagement with statutory bodies, assisting in the preparation of applications, submissions, notices, and certifications required to meet programme and sales targets.Career ProgressionThis role offers a clear pathway for career development, providing exposure across the full lifecycle of residential development. Over time, this will support progression into broader responsibilities within a dynamic and growing organisation.Key ResponsibilitiesProject Management & Financial AdministrationPrepare monthly developer valuations for submission to bank monitors, including all supporting documentation.Work closely with the Finance team to review and approve monthly invoices.Update project cash flow forecasts in line with construction progress and projected sales income.Collate and maintain contract documentation in accordance with lending requirements.Construction StagePrepare and submit utility applications (e.g. Irish Water, ESB) and HomeBond registrations.Coordinate documentation submissions to Local Authorities and Uisce Éireann.Liaise with design teams and contractors on Building Energy Rating (BER) documentation.Support coordination between design teams and site managers, ensuring compliance from planning stages through to final as-built drawings.Collate construction documentation for BCAR submissions and liaise with assigned certifiers.Monitor and report on critical programme milestones to support delivery timelines and sales targets.Sales, Marketing & HandoverCoordinate marketing materials for brochures, websites, and social media platforms.Work closely with sales and legal teams to track progress against sales targets and maintain up-to-date reporting.Monitor and report on snagging and sign-off processes, supporting clear communication with purchasers.Collate and issue final closing documentation for property sales to relevant legal teams.Support preparation of homeowner manuals for distribution to purchasers.General AdministrationAssist with preparation of reports and presentations for internal and external stakeholders.Maintain and manage project documentation on SharePoint from project commencement through to Taking in Charge.Develop and maintain trackers, registers, and reporting tools.Attend meetings, record minutes where required, and support ad hoc administrative tasks.Qualifications & ExperienceA relevant qualification in administration, legal studies, property, or a related field.Minimum of 5 years’ relevant experience.Experience in document control or administration within property development, construction, or new homes sales is desirable.Skills & CompetenciesEssentialStrong administrative and organisational skills with a high level of attention to detail.Excellent IT proficiency, particularly within Microsoft 365.Experience using, or willingness to adopt, AI-enhanced tools (e.g. Copilot) for document preparation, data analysis, and workflow optimisation.Familiarity with document management and collaboration platforms such as SharePoint, Procore, or similar systems.Structured approach to reporting and documentation.Strong analytical skills with the ability to monitor project data and identify risks or trends.A proactive, solution-focused mindset with an interest in continuous improvement and digital optimisation.Ability to manage multiple priorities and work independently as well as collaboratively within a team.DesirableExperience using Procore or similar construction/project management platforms.Familiarity with compliance and customer communication tracking tools.Proficiency across Microsoft Office, Adobe, and related systems (training can be provided).
