This is a key administrative role supporting day-to-day transport activities, ensuring compliance, accurate record-keeping, and smooth communication between drivers, management, and external partners.The ideal candidate will thrive in a fast-paced environment, demonstrate strong organizational and communication skills, and have a proactive approach to problem-solving.Key ResponsibilitiesMaintain daily transport files, including delivery dockets and driver documentationEnsure all truck and driver files are accurate, up to date, and correctly filedMaintain vehicle inspection checklists and prepare vehicle defect or accident damage reportsUpdate HR and attendance systems, including holidays, absences, and driver contact detailsProcess employee and agency driver hours to ensure accurate payrollPrepare weekly driver hours reports for employment agenciesMaintain accurate driver attendance records in line with HSA requirementsSupport health & safety compliance by logging unsafe acts or conditions and maintaining PPE recordsPrepare operational reports including rotas, telematics reports, invoices, audits, and stock figuresLiaise with scheduling teams regarding driver availability and time offManage fleet records, including tax, CVRT, ADR, periodic and annual test datesBook vehicle testing and distribute discs/certificates to relevant vehiclesMaintain driver rosters and truck availability schedulesIssue purchase orders and work authorizationsMaintain training records, book courses, and communicate training requirementsEnsure notice boards are up to date with current business informationProvide Known Supplier documentation and maintain supplier recordsPlace orders with internal and third-party suppliers as requiredHandle incoming and outgoing calls, resolving queries efficientlyAssist the Transport Manager with daily operational and administrative tasksRequirements1–2 years' experience in a transport, logistics, or administrative roleStrong organisational skills with excellent attention to detailProficiency in Microsoft Office, particularly Excel and OutlookAbility to manage multiple priorities in a fast-paced environmentStrong written and verbal communication skillsExperience with transport or fleet management systems is an advantageA proactive, solution-focused mindsetAbility to work independently and as part of a teamKnowledge of transport regulations and compliance is desirable but not essentialFlexibility to adapt to changing operational needsBenefitsCompetitive annual leave entitlement plus bank holidays and additional company daysPension contributionsPrivate health insurance contributionsLife assurance and income protectionEmployee assistance programmeProfessional development and sponsorship opportunitiesEmployee discount schemesCycle to Work schemeEye test and flu vaccine contributionsSubsidised canteen facilitiesSocial eventsFree on-site parking
